Summary
We are growing rapidly and are seeking a Revenue & Operations Specialist to ensure efficient financial processes, operational improvements, and administrative support.
The Revenue & Operations Specialist will be responsible for managing the company’s revenue-related processes, ensuring accurate invoicing, collections, and commission tracking while also playing a key role in streamlining operational workflows. This position requires a mix of financial administration, customer coordination, and process improvement to support overall business efficiency.
The ideal candidate will be highly organized, self-sufficient, and comfortable handling both financial tasks and operational duties with minimal supervision.
Revenue Management & Financial Operations (50%)
- Manage invoicing & billing processes – Generate and send invoices, ensuring timely and accurate billing.
- Handle collections & accounts receivable – Monitor unpaid invoices, follow up with clients, and implement collection strategies.
- Run commission reports – Track and process commissions for sales representatives.
- Payables - Review vendor invoices for accuracy and present to ownership for approval
- Generate revenue reports – Provide insights into revenue trends, outstanding balances, and financial performance.
Operational Support & Process Improvement (50%)
- Monitor employee timekeeping – Ensure hourly employees take breaks, lunches, and overtime in compliance with company policies.
- Answer phone calls & monitor emails – Assign customer inquiries to the appropriate team members for follow-up.
- Organize & maintain company records – Maintain structured electronic and paper filing systems for financial and administrative documents.
- Implement & refine workflows – Identify inefficiencies in administrative and financial processes, suggest improvements, and implement best practices.
- Support HR administration – Process health insurance enrollments, employee policy compliance, and minor disciplinary conversations related to timekeeping and policy adherence.
Qualifications
- Bachelor’s degree in Business Administration, Operations Management, or a related field (or equivalent experience).
- • 3+ years of experience in accounts receivable, invoicing, revenue operations, or administrative operations.
- Strong financial acumen – Experience with QuickBooks, billing software, and financial reporting.
- Excellent organizational & problem-solving skills – Ability to analyze processes and improve efficiency.
- Self-motivated & detail-oriented – Able to manage multiple responsibilities without direct supervision.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience handling HR compliance (tracking employee time, enforcing company policies) is a plus.
- Customer service experience.
- Strong proficiency in QuickBooks Online and Excel.
- Excellent written and oral communication skills.
- Experience in a testing laboratory or the dietary supplement industry is a plus.
- Excellent organizational and time management skills.
- Ability to multitask and manage competing priorities in a fast-paced environment.
