This role is based in Austin, TX. We operate on a hybrid schedule: Mondays and Fridays remote. In-office Tuesday through Thursday with additional half-day offs Fridays throughout the year.
About Role
We’re looking for a highly organized, proactive, and strategic candidate to support and scale the backbone of Ponte Firm. This role will be critical in ensuring the business runs smoothly—owning core functions like finance, recruiting, legal coordination, systems management, project tracking, and special initiatives.
This is a key role for someone who thrives in a fast-paced, founder-led environment, is energized by solving problems, and wants to grow with a creative, high-performing team.
Own the relationship with external bookkeepers/finance partners and ensure timely, accurate AP/AR across the business
Responsibilities
- Drive weekly and monthly performance reporting, support forecasting, and collaborate with leadership on financial modeling and projections
- Partner directly with the CEO to plan cash flow, optimize profitability, and contribute to growth strategy
- Lead or co-lead special initiatives—from internal systems upgrades to talent/client launches—bringing cross-functional stakeholders into alignment
- Project manage complex workflows, keeping top priorities on track and team members clear on responsibilities and deadlines
- Act as a strategic right hand to the CEO, helping translate vision into execution with speed, precision, and trust
- Run CRM as the heartbeat of the agency, owning workflow design, accountability loops, and process transparency
- Continuously identify and implement process improvements to unlock operational efficiency and team productivity
- Own legal document workflows, from contract management to NDAs and compliance tracking (in collaboration with external counsel)
- Support and streamline recruiting—from job descriptions to interview logistics—ensuring a best-in-class candidate experience
- Maintain onboarding, payroll, and benefits systems so new hires and team members feel supported, empowered, and set up to succeed
- Be the go-to for internal HR questions and light compliance, helping foster a thoughtful, values-driven team environment
- Manage and optimize the agency’s marketing calendar, driving execution across email, social, and other owned channels
What We’re Looking For
• 2+ years of experience in business operations, project management, or a similar role (bonus if in a startup, agency, or creative environment)
• Financial fluency—comfortable working with spreadsheets, budgets, and reporting tools
• Experience with tools like Monday.com, QuickBooks, Gusto, Google Workspace, and Slack
• Excellent written and verbal communication skills
• Highly organized, resourceful, and able to manage multiple priorities without dropping balls
• Trustworthy, discrete, and able to work independently with minimal oversight
