Position Summary
We are seeking a proactive, highly organized Business Operations & Executive Support Manager to oversee day-to-day office operations at our Burlington, MA location and provide high-level administrative support to executive leadership. This is a highly visible, dynamic position requiring strategic thinking, strong execution, and the ability to manage multiple priorities in a fast-paced, entrepreneurial environment.
Reporting directly to the CFO, and working closely with the CEO, this role is ideal for someone who enjoys wearing multiple hats—combining executive support, office management, project coordination, and operational problem-solving.
Job Requirements
- Provide comprehensive administrative support to the CEO and CFO, including complex calendar and travel management, meeting logistics, and communications.
- Draft, manage, and track company documents such as offer letters and Confidential Disclosure Agreements (CDAs).
- Coordinate and lead weekly company meetings: prepare agendas, take meeting minutes, and track action items.
- Manage accounts payable processes and expense reporting.
- Oversee daily operations of the Burlington office, including office supply procurement, vendor management, and facilities coordination.
- Support creation of PowerPoint presentations for various communications
- Plan and execute in-office events, company offsites, and team-building activities.
- Maintain and update project management tools such as Smartsheets.
- Organize and manage digital filing systems for administrative and financial documents.
- Support employee onboarding, including equipment, system access, and required documentation.
- Coordinate lunch orders and catering for meetings and events.
- May perform work as a Quality System Owner.
- Collaborate on special projects and cross-functional initiatives as assigned by the executive team
Qualifications
- Bachelor’s degree or equivalent work experience.
- 3+ years of experience in executive support, office operations, or administrative roles—preferably within a startup, biotech, or pharma setting.
- Familiarity with accounts payable or general bookkeeping is a plus.
- Proficiency in Microsoft Office Suite, Smartsheet (or similar tools), and cloud-based systems.
- Excellent organizational, written, and verbal communication skills.
- Proven ability to work independently, manage multiple tasks, and adapt quickly in a dynamic environment.
- Discretion and sound judgment in handling confidential information.
- Ability to travel domestically and internationally, as required - up to 10%
