Overview
We are seeking a detail-oriented and analytical Business Operations Specialist to join our dynamic team. The Business Operations Specialist supports the Administrative team by driving execution across operational, administrative, and project initiatives. This individual ensures that company projects move forward on time and accurately, while maintaining a proactive, solutions-focused approach. The ideal candidate is resourceful, organized, and confident in using modern tools to manage workflows, communicate across teams, and solve problems with minimal supervision.
Primary Job Responsibilities
Operations
- Work with the Project Management Office to execute company-approved projects, occasionally serving as the project lead to ensure momentum and accountability.
- Schedule meetings, take structured notes, and utilize company systems such as Asana, AirTable, and Microsoft Excel to manage progress and outcomes.
- Collaborate with the marketing team to assist in developing company newsletters, marketing materials, and other communications.
- Lead company-wide training programs by working with business leaders to create, organize, and distribute training content across systems.
- Identify operational gaps, escalate issues appropriately, and engage relevant stakeholders to drive resolution.
Administrative
- Coordinate team meetings and company-wide events, including logistics, scheduling, and offsite planning.
- Manage administrative processes that ensure smooth day-to-day operations within the organization.
- Maintain documentation, reports, and records in alignment with company standards and timelines.
Requirements
- 4–6 years of progressive experience in healthcare operations, practice management, or a related business operations field.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated proficiency with Microsoft Office Suite (especially Excel), Asana, AirTable, and AI-based tools to improve efficiency and reporting accuracy.
- Strong organizational and communication skills with a track record of driving accountability and delivering results.
- Ability to work both independently and collaboratively across functional teams.
- Resourceful and adaptable when facing new challenges; comfortable asking clarifying questions to ensure clear understanding before execution.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Healthcare Administration, or related discipline.
- Experience supporting multi-site healthcare operations or medical practice management.
- Exposure to HR, finance, or compliance functions within a healthcare setting.
- Project management certification (e.g., PMP, CAPM, or Lean Six Sigma) a plus.
Working Conditions
- Fully remote position; reliable internet connection required.
- Occasional travel for meetings, training sessions, or company events.
- Must maintain high responsiveness and accountability across digital communication channels.
