Location: Dallas, Texas / On-Site Position
Type: Full-time (37 hours per week): M-TH, 8:30 am to 5:30 pm, F, 9:00 am to 12:00 pm
About the Role
We’re seeking a highly organized, detail-oriented professional to manage the day-to-day business operations of our studio. This role oversees financials, human resources, office management, procurement, and marketing support. You’ll report directly to the Principals and serve as a trusted partner — maintaining confidentiality, demonstrating loyalty, and keeping the office running smoothly.
Key Responsibilities:
Financial Management
- Enter daily transactions, invoices, and deposits in QuickBooks.
- Prepare and distribute financial updates and bank reconciliations.
- Manage accounts payable/receivable, cash flow forecasting, and sales tax filings.
- Prepare client invoices and monthly reporting.
- Work with Principals and Accountant on year-end reconciliations, tax submissions, and renewals.
Human Resources
- Process payroll semi-monthly and manage employee benefits.
- Liaise with employees on HR, healthcare, and time-off matters.
- Onboard new employees (payroll, insurance, IT setup, etc.) and offboard as needed.
- Coordinate annual health insurance renewals and open enrollment.
- Maintain and update the employee handbook.
Office Administration
- Manage office operations, supplies, mail, and vendor relationships.
- Coordinate with property management and IT vendors.
- Lead office organization efforts and ensure a professional studio environment.
Marketing & Procurement
- Support proposal preparation and marketing materials.
- Manage purchase orders, vendor payments, and FF&E budgets.
- Maintain marketing inventory and assist with special projects.

Qualifications:
- Bachelor’s degree in Business Administration, Finance, or a related field.
- Proficiency in QuickBooks (Desktop and Online) and Microsoft Office Suite.
- Understanding of general business and tax principles.
- Prior experience (at least 5 years) in office or business management required.
