Overview
We are seeking a highly organized and proactive Executive Assistant to support the CEO and Revenue Operations team. This role requires a professional with exceptional administrative skills, attention to detail, and the ability to manage multiple priorities efficiently. The ideal candidate will possess strong office management experience, excellent communication skills, and proficiency with various digital tools. Duties
- Provide comprehensive executive administrative support to the CEO, including calendar management, scheduling meetings, and coordinating.
- Assist with revenue operations, out bound collections and financial record keeping using QuickBooks and other accounting tools
- Coordinate projects across departments, ensuring deadlines are met and deliverables are organized
- Manage correspondence via email, phone, and multi-line phone systems with professionalism and courtesy
- Prepare reports, presentations, proofreading documents, and transcription as needed using Microsoft Office and Google Workspace
- Support event planning activities for company functions or client engagements
- Handle regular meeting with managers of departments and report back to the CEO
- Utilize office software such as Microsoft Outlook Calendar other digital tools to streamline workflows
- Perform clerical tasks including data entry, filing, proofreading, and maintaining organized records
- Provide exceptional customer service to internal teams and external partners
Requirements
- Proven experience as an executive assistant or in a similar administrative role with office management responsibilities
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent typing speed and computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with multi-line phone systems
- Experience with QuickBooks for bookkeeping and financial record keeping is preferred
- Exceptional communication skills including phone etiquette and professional correspondence handling
- Demonstrated project coordination abilities with attention to detail in proofreading and transcription tasks
- A drivers license is required as pick up and drop off duties and or tasks will arise.
- Ability to manage calendars efficiently using Microsoft Outlook Calendar or similar tools
- Experience supporting senior executives or personal assistant duties is highly desirable
- High level of discretion and confidentiality when handling sensitive information
