PayBright is seeking a Business Systems Manager to serve as the strategic owner of our Zoho ecosystem. This is a process-first role designed for a Zoho expert who thrives on building automations, streamlining workflows, and turning data into actionable insights. As the primary architect of our Zoho One environment (CRM, Desk, Analytics, Flow), you will partner with Sales, Operations, and Leadership to ensure our systems scale alongside our growth. While you will handle basic administrative onboarding—such as account provisioning and equipment coordination—your primary focus is on maximizing the efficiency of our business applications and driving digital transformation across the company. In addition, this role coordinates light internal systems access and device provisioning, while working with external IT vendors for advanced infrastructure and security needs.
Key Responsibilities:
- Act as the primary system owner and final decision-maker for the Zoho One environment.
- Define and maintain Zoho as the source of truth and system of record for agents, merchants, and operational workflows
- Own the intake, prioritization, and roadmap planning for all business system changes and enhancements
- Lead cross-functional working sessions to map workflows, improve system design, and bridge the gap between business needs and technical implementation
- Design, build, and maintain automations that eliminate manual tasks for Sales and Support teams
- Support the design of internal- and external-facing Zoho-based tools, with a focus on usability, permissions, and scalability.
- Resolve data conflicts across various tools to ensure reporting accuracy and maintain high standards for data hygiene.
- Develop and manage custom dashboards to provide leadership with real-time visibility into performance.
- Balance immediate "quick-fix" requests with the long-term health and scalability of the platform.
- Create resources and lead training sessions to ensure the team is utilizing our systems to their full potential.
- Facilitate the technical side of employee onboarding, including the provisioning of Zoho and RingCentral accounts.
- Manage laptop setups and maintain a basic inventory of company hardware assets.
- Act as the internal liaison for basic access requests and coordinate with external vendors for complex infrastructure or security needs.
What Success Looks Like (The First 6 Months)
- Data Integrity: The CRM contains clean, trusted data with clear ownership established across all records.
- In-House Expertise: A significant reduction in reliance on third-party Zoho contractors as you take full command of the environment.
- Executive Visibility: Leadership dashboards are finalized, accurate, and actively used for daily decision-making.
- System Governance: All core workflows and system standards are fully documented for scalability and training.
- Platform Adoption: Measurable improvement in system adoption and proficiency across the Operations and Support teams.
Requirements Required:
- 3–5+ years of hands-on Zoho One administration experience, including CRM, Desk, and Analytics. (Experience with Flow or Creator is a plus.)
- Bachelor's Degree
- Demonstrated ability to design and maintain workflows, automations, and reporting that improve efficiency and visibility.
- Comfortable providing light IT administration support, including device setup, email management, and user account provisioning.
- Strong analytical and problem-solving skills, with the ability to translate business requirements into practical system solutions.
- Excellent communication skills, with the ability to train and support end users at all levels of the organization.
- Highly organized, detail-oriented, and proactive, with a strong sense of ownership.
Preferred:
- Experience integrating systems using APIs or middleware tools such as Zoho Flow, Zapier, or Make.
- Working knowledge of Deluge scripting for advanced customization and automation.
- Prior experience supporting payments, SaaS, or sales operations environments.
Schedule & Location
- Full-time (40 hours per week)
- Monday–Friday, with occasional weekend hours as needed
- Hybrid schedule (on-site in Raleigh, NC, four days per week)
