Position Overview
We are seeking a highly organized and business-minded Executive Assistant & Coordinator, Business Operations to support day-to-day executive operations while also playing an active role in cross-functional coordination and business execution. This role is ideal for someone with 3–5+ years of experience supporting senior leaders, and who is eager to grow beyond traditional administrative work and contribute to operational efficiency, communication flow, and project execution within a fast-paced global music business.
Our ideal candidate has prior experience in the music industry and a genuine interest in music business operations and IP ventures. We are looking for an individual with a strong business foundation who can act as a seamless bridge across global operations, leveraging high-level bilingual communication and modern AI tools to enhance executive productivity and business workflows.
The Executive Assistant & Coordinator, Business Operations will serve as a key point of coordination across leadership, internal teams, and global partners—supporting the VP, Business Operations’ priorities while ensuring that business initiatives, meetings, and follow-ups move forward smoothly and on time.
This is a full-time, hybrid role based in our Santa Monica office, with in-person collaboration 3 days per week and remote work 2 days per week.
Key Responsibilities
1. Executive & Business Support
- Executive Coordination: Manage executive calendars and scheduling with an understanding of business priorities, deal timelines, and cross-functional dependencies.
- Bilingual Communication & Translation: Serve as the primary liaison for global partners. Draft, translate, and review business correspondence, meeting materials, and internal documentation in both English and Korean to support global collaboration.
- Meeting Strategy: Prepare meeting agendas and briefings. Capture key discussion points and ensure follow-up actions are tracked and communicated across departments.
- Cross-Functional Liaison: Act as a point of coordination between executives, internal departments, and external partners to support smooth communication and operational continuity.
- Confidentiality & Judgment: Maintain high standards of discretion and professionalism when interacting with C-suite executives, global agencies, and business partners.
2. Digital Productivity & AI Integration
- Operational Support: Assist with tracking business initiatives, internal projects, and recurring workflows to help leadership stay organized and focused on priorities.
- AI Tool Adoption: Leverage AI tools (e.g., Gemini, ChatGPT, Claude) to summarize information, draft internal materials, and streamline operational tasks.
- Efficiency Optimization: Identify and suggest digital workflows or software that can improve the speed and quality of the executive office’s output.
- Presentation & Reporting Support: Assist in creating clear and impactful business presentations, reports, and internal materials using Google Workspace and other digital design and collaboration tools.
Qualifications
- Experience: 3–5+ years of experience in an Executive Assistant, Coordinator, or Business Operations support role within the music or entertainment industry.
- Background: Business Background preferred (e.g., experience in business admin, operations, or corporate environments) over creative agency backgrounds.
- Language: Native-level proficiency in English is required, with fluent proficiency in Korean (both written and verbal).
- Tech Savvy: A fast learner with a strong interest in adopting new technology and AI tools to optimize work efficiency.
- Operational Mindset: Interest in understanding how business decisions are executed and supported across teams.
It’s a bonus if you have
- Academic Background: Degree in Business Administration, Music Business, or a related field.
- Proactive Mindset: Ability to anticipate executive needs and resolve operational bottlenecks independently.
- Industry Insight: Solid understanding of the global music business ecosystem and commercial trends.

Salary Range
The salary range for this job is $65,000 to $72,000. This is a good faith effort at the time of posting. This range is base salary only and does not include benefits and any other compensatory components of the role.
