About the Role
We are building a high-performing operations team and seeking a Business Operations Specialist to be a foundational member. You will serve as the connective tissue of our organisation - not just maintaining systems, but actively building the infrastructure that fuels our growth.
In this role, you will be responsible for the end-to-end rollout of critical internal initiatives. You won't just suggest improvements; you will execute the technical builds and create the frameworks to measure their success. This is a high-impact position designed for an analytical "builder" who thrives on turning complex business requirements into streamlined, automated realities. You’ll have significant autonomy to own our core systems while identifying and proving the ROI of efficiency gains across every department.
What You'll Do
1) Daily Operational Support
This is critical - you'll need to balance project work with reactive daily support:
Reactive Task Management
- Address urgent business operations tasks daily as they arise
- Respond to requests from across the business in good time to keep operations flowing
- Triage and prioritise incoming requests independently
- Escalate business-impacting issues appropriately when needed
Process Documentation & Optimisation
- Document critical business processes with detailed step-by-step guides to build up an internal documentation library for operations with troubleshooting resources
2) Ongoing Project Execution
- Lead Internal Rollouts: You will take ownership of launching operational projects, ensuring new processes are adopted and integrated seamlessly across the business. Conduct post-implementation reviews to measure ROI and identify areas for refinement
- Success Measurement & Analytics: Define KPIs for every initiative we launch as a team. You will also build the dashboards and measurement frameworks necessary to track performance, quantify time savings, and report on ROI to leadership.
- Continuous Optimisation: Use data-driven insights to audit existing "builds," identifying bottlenecks and iterating on systems to ensure they scale with the company.
- Tech Stack Ownership: Own the operational software stack, acting as the primary administrator and strategist to ensure tools are fully utilised, streamlined and integrated.
- Technical Build & Execution: You may also be required to build workflows, automations (Zapier/HubSpot), and system architectures required to solve business-critical challenges.
What You'll Need
Essential:
- Fluency in English
- Strong analytical skills with ability to spot patterns and inefficiencies
- Familiarity with CRM systems (HubSpot)
- Must have worked at a subscription tech business
- Experience with workflow automation tools (HubSpot, Zapier, or similar)
- Comfortable working with data - Excel/Google Sheets proficiency is a must
- Excellent documentation skills (written guides, screenshots, screen recordings)
- Self-directed with ability to manage multiple projects simultaneously
- Clear communicator who can translate technical concepts for non-technical stakeholders
- Experience defining and tracking KPIs and success metrics
Desirable:
- Basic scripting or coding knowledge (Python, JavaScript, or similar)
- Data visualisation skills (building dashboards in HubSpot, Tableau, or similar)
- Experience in SaaS or tech startup environments
