Description
The individual will be responsible for managing day-to-day administrative tasks, supporting and assist with events. As well as supporting senior leadership, and being the back-up to the CIOs Executive Assitant, while providing crucial team and building support. We seek a passionate team player that will be an integral part of the continued success and growth within the IS&T organization.
Responsibilities
- You will be an Executive Assistant to two Sr Directors in IS&T. Daily activities will include challenging calendar management, coordinate meetings and video/conference calls while actively utilizing your keen problem-solving abilities as challenges arise. Scheduling both domestic and international travel and arranging for the team off-sites and events will be a regular task. Support will include coordinating cross-functional meetings across various locations/time zones, ensuring great communication and collaboration. You will also support team events throughout the year, bringing creativity and attention to detail to team needs and activities.
Minimum Qualifications
- Qualified candidates will have 5 plus years of Executive Assistant experience supporting Sr Director level or above.
- Ability and experience with calendar management, complex domestic and global travel arrangements, visa requirements, expense reports, and facilities requests.
- Excellent written and verbal communication skills and a strong sense of professionalism.
- Extensive calendar management.
Preferred Qualifications
- Proficiency in Apple products including, Calendar, Numbers and Keynote
- Strong written and verbal communication skills, with professionalism and tact when interacting with senior executives and team members.
- Resourceful problem-solver with the ability to prioritize and manage multiple tasks efficiently in a multifaceted environment.
- Ability to work autonomously with a strong work ethic and handle sensitive and confidential information with integrity and discretion.
- Proven track record of meeting deadlines and taking initiative to make confident, well-informed decisions.
- Able to thrive with little direction and an ambiguous work environment
- Comfortable being an advocate for your decisions and can say 'no' to support your executives’ schedule when needed
- Experience managing complex calendars, including prioritizing meetings, video calls, and resolving scheduling conflicts proactively.
- Ability to notice trends and anticipate needs and changes and react accordingly with a calm demeanor.
- Excellent organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Strong interpersonal skills and ability to build relationships cross-functionally and with other executive assistants outside of IS&T.
- Possess a “can-do” attitude - no task is too big or too small.
- Ability to handle conflict appropriately and know when to escalate issues and when to apply common sense.
- Proficiency with Apple Calendar, Apple Mail, Apple Keynote, Quip, Slack, and other office systems and tools are a plus
Pay & Benefits
At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $42.64 and $63.96/hr, and your base pay will depend on your skills, qualifications, experience, and location.
