Role Summary
The Sales Operations Coordinator owns the full lead-to-sample execution engine for marketing-generated leads. This is an execution-critical role. Speed, precision, and follow-through directly impact revenue.
If leads stall, you fix it. If follow-up slips, you catch it. Nothing gets dropped.
Success is measured by response time, qualification accuracy, sample conversion, and consistent closed-loop communication.
Core Responsibilities
Lead Management & Qualification
- Respond to 100% of inbound leads within 48 hours
- Qualify all inquiries against strict criteria
- Disqualify quickly and clearly when criteria are not met
- Own all lead communication, including approvals and rejections
Sample Execution
- Coordinate sample requests end-to-end
- Ensure samples are shipped within 72 hours of qualification
- Track all samples in CRM with dates, status, and ownership
- Ensure no sample is shipped without proper qualification
Follow-Up & Conversion
- Conduct follow-up within 7 days of sample delivery
- Drive samples toward measurable outcomes:
- Product feedback
- Conversation
- Distributor price quote
- Coordinate demos with outside sales when needed
- Own communication even when sales is involved
CRM & Reporting
- Maintain clean, accurate CRM records
- Capture feedback, objections, and next steps
- Provide weekly activity reports, including:
- Leads received
- Leads qualified
- Samples shipped
- Follow-ups completed
- Conversations and quotes generated
Required Skills & Profile
- Comfortable speaking with chefs, F&B directors, and operators
- Highly organized, process-driven
- Strong written and verbal communication skills
- CRM-savvy (Zoho or similar)
- Able to manage multiple leads without dropping follow-up
- Able to clearly communicate approvals or rejections and close the loop without leaving leads unanswered

- Not a high-volume sales role
- Not a passive order-taking role
This role exists to accelerate momentum and convert interest into revenue.
