Job Title: Controller or CFO
Location: Fort Lauderdale, FL
Salary: $250k - $300k base plus bonus and excellent benefits that includes 100% paid health insurance, 6% 401k match, etc.
Role Overview
The position serves as the primary administrative engine for all financial data and related operations within a single-family office. The ideal candidate maintains hands-on mastery of the general ledger and daily accounting functions, balancing a “no task too small” attitude with the ability to manage complex relationships while remaining “in the weeds” to ensure absolute accuracy. This role requires a detail-oriented, hardworking, hands-on, self-directed, reliable, and adaptable professional.
Key Responsibilities
Financial Management & Reporting
- Oversee all accounting, financial reporting, and financial controls across the family office.
- Maintain hands-on mastery of the general ledger for all entities to ensure absolute accuracy of books and records.
- Execute or oversee month-end and year-end closing processes, including bank reconciliations and intercompany tie-outs.
- Develop and deliver standardized financial packages on a regular and as-needed basis that provide a clear picture of liquidity, investment and capital allocation, and net worth.
Treasury & Cash Administration
- Serve as the primary administrative point of contact for banking relationships and act as an authorized person for wire transfers and confirmations.
- Monitor and forecast daily liquidity requirements for capital calls, lifestyle expenses, and recurring commitments.
- Oversee administrative compliance for any loans, ensuring timely debt service and submission of required annual financial statements.
- Record foreign currency transactions and reconcile foreign time deposits as required.
Insurance & Risk Management
- Establish and maintain strong internal controls across the family office.
- Manage insurance coverage across family assets and entities, balancing risk and expense management.
Accounts Payable & Supervision
- Directly supervise and provide daily administrative support to bookkeeping and payable personnel.
- Review all entries for classification accuracy and oversee seamless processing of all office, household, and unique asset expenses.
HR, Benefits & Payroll Processing
- Manage the administrative lifecycle of all employees, including the processing of semi-monthly payroll across all entities.
- Serve as the primary administrator for the 401(k) plan and health/medical insurance benefits, including onboarding documentation and 5500 filings.
- Execute routine payroll and insurance compliance for employees across multiple jurisdictions.
Tax Coordination & Compliance
- Act as the administrative liaison for external tax preparers, collecting and organizing K-1s and preparing requested work papers.
- Provide basic schedules for external review, manage the 1099 filing process, and ensure completion of regulatory filings.
Systems Oversight & File Integrity
- The office currently operates on an established technology stack including QuickBooks, ADP, Paychex, and Egnyte.
- The Controller should evaluate and, if appropriate, implement alternatives that improve efficiency and/or reduce cost.
- Working with the IT administrator, the Controller is responsible for daily utilization and administrative oversight of all systems, including basic IT assistance, software updates, and ensuring records are securely maintained.
Candidate Profile
Experience
- 7+ years in high-net-worth accounting, a Controller role, or public accounting (Big 4 or Regional) background.
Credentials
- CPA or progress toward a CPA preferred.
