Job Summary
The Business Operations Support role is essential for ensuring smooth and compliant business operations across the Germany, Switzerland, and Austria (GSA) cluster. This position provides administrative, operational, procurement, and contract related support, while partnering closely with local and international stakeholders across Marketing, Market Access, Finance, Medical Affairs, and other functions.
The ideal candidate is highly organized, detail-oriented, proactive, reactive, and comfortable managing multiple tasks in a fast-paced environment. You should enjoy working with diverse stakeholders and supporting both office and field-based operations.
Responsibilities And Duties
Operational & Administrative Support
- Ensure smooth day‑to‑day office and operational activities for local and international teams.
- Prepare materials for internal meetings, workshops, and events.
- Maintain filing systems (digital & physical) aligned with compliance and documentation standards.
- Perform data entry, record updates, and database maintenance.
- Coordinate travel bookings in accordance with corporate policies.
Contract & Compliance Support
- Manage contract workflows via PORZIO/TPE and Ironclad, ensuring timely processing and adherence to internal policies and compliance guidelines.
- Maintain complete and compliant documentation of all contract‑related materials.
- Coordinate with internal teams and external partners (vendors, HCPs) regarding required forms, approvals, and process steps.
Procure‑to‑Pay (P2P) & Finance Process Support
- Create, manage, and track Purchase Orders (POs) across multiple categories.
- Handle and process invoices, including verification and communication with Finance.
- Act as P2P Super User for the region, supporting colleagues with guidance on P2P procedures.
- Ensure proper documentation and traceability across all procurement activities.
Required
Qualifications and Skills
- Native‑level German and fluent English (spoken and written).
- Strong proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint).
- High attention to detail and strong organizational skills.
- Proven ability to manage multiple priorities independently.
- Experience supporting cross‑functional teams and multiple stakeholders.
Preferred
- Bachelor’s degree in a relevant field.
- 5+ years of experience in an administrative, operational, or business support role.
- Experience with P2P workflows, vendor management, or finance process support.
- Experience with contract administration tools and finance support functions.
- Knowledge of pharmaceutical industry processes, compliance, and documentation standards.
