POSITION SUMMARY:
The Business Operations Lead is responsible for overseeing quote approvals, contract processing, and order management while serving as an operational expert and key partner to Sales and Customer Success. This role provides workflow leadership, mentors junior team members, drives process improvements, and ensures high-quality execution across quote-to-cash activities. The Lead actively influences cross-functional alignment, identifies operational risks, and supports strategic business initiatives.
This position is based in our San Diego, CA office and requires in-office attendance Monday, Wednesday, and Thursday.
ESSENTIAL FUNCTIONS:
- Coordinate with internal stakeholders to support enterprise customer contracts, quotes, and order fulfillment.
- Perform and monitor D&B checks for new opportunities and escalate risks to leadership for strategic decision-making.
- Submit and track third-party financing requests for customer contracts.
- Create customer contracts in CPQ and submit them to customers via Adobe.
- Serve as a subject-matter expert on CPQ configuration requirements and best practices.
- Lead first-line review of submitted quotes, evaluating accuracy, configuration, pricing, and commercial terms.
- Oversee order review and submission in Salesforce, ensuring exceptional accuracy and operational compliance.
- Monitor dashboards and reports to proactively resolve open order issues and guide the team on prioritization.
- Partner with Sales and Customer Success to ensure accurate and timely updates to quotes and orders.
- Lead documentation of requirements for system enhancements and oversee user testing in the staging environment.
- Maintain and refine process and procedure documentation to support scalable operations.
- Build strong, collaborative relationships across internal teams and serve as an escalation point for operational blockers.
- Support quarterly business reviews and contribute to development of executive-level reporting and materials.
- Mentor, guide, and coach junior operations staff to elevate team performance and ensure onboarding consistency.
- Drive continuous improvement by evaluating workflows, identifying inefficiencies, and leading small-scale operational initiatives.
Supportive Functions
- Support processing RMA cases including submitting the replacement order in Salesforce.
- Identify and help solve core problems or opportunities within business processes.
- Support the build-out of scalable processes, procedures, and capabilities to meet global growth objectives.
QUALIFICATIONS:
- Minimum 2 years’ experience in the Business Operations department
- Strong verbal and written communication skills and a positive approach to daily challenges and opportunities
- Self-motivated and able to thrive and adapt in a fast-paced, dynamic business environment.
- Strong sense of responsibility, ownership and accountability.
Background Preferred (but not required):
- Implementation experience of Salesforce
- Implementation experience of NetSuite
- Team management experience
- Comfortable with challenges and enthusiastic about improving efficiencies.
- Thinks creatively and proposes innovative ideas.
- Carefully and thoroughly manage tasks to ensure accuracy and completeness.

Education:
Bachelor's degree required.

California Pay Range: $65,700 USD - $87,600 USD
