The Business Operations Lead will play a central role in ensuring the effective operation, administration and financial governance of the MEIDS UK office, which is a subsidiary of MEIDS Inc, based in MA United States. This role combines oversight of day-to-day UK office and business operations with responsibility for financial administration in partnership with external accountants and the US based team.
The postholder will lead and support the Business Operations team in the UK, ensuring high levels of service, efficiency and compliance across all administrative, financial and operational processes. They will also act as a key liaison point between the office, internal stakeholders and external financial partners.
Key Responsibilities
Financial Administration & Management
- Work closely with external accountants to coordinate and oversee all UK financial processes.
- Work with US based internal accounting group to coordinate UK finance matters with global group practice, including cash flow planning.
- Maintain accurate financial records including invoices, purchase orders, expenses, budget trackers, deferred income tracking and reconciliations.
- Banking Management. Monitor organisational expenditure, identifying variances or issues proactively.
- Support the preparation of monthly, quarterly and annual financial reports.
- Prepare financial information needed for forecasting, audits, compliance checks or board reporting.
- Ensure adherence to internal financial policies and regulatory requirements.
Operational & Office Management
- Oversee the daily operational efficiency of the UK office, ensuring all administrative systems and processes run smoothly.
- Develop and maintain office procedures, workflows and operational documentation.
- Manage supplier relationships (e.g., utilities, equipment, lease, IT support).
- Coordinate operational projects and improvements to enhance organisational efficiency.
- Overall responsibility for occasional Visitors and Hospitality Management at the office.
- Ensure compliance with health & safety, GDPR and other relevant regulations.
Team Leadership & Line Management
- Line manage the Business Operations Team (2 off), providing coaching, workload oversight and professional development support.
- Set clear performance expectations and conduct regular check-ins and appraisals.
- Ensure the administration team delivers a high-quality, responsive internal service.
- Governance & Compliance.
- Maintain and update key organisational registers, policies and operational documents.
- Support risk management activities and contribute to internal control processes.
Business Support & Coordination
- Provide senior administrative support to management, including meeting coordination, data reporting and project support.
- Assist with internal communications, ensuring key messages and updates are shared effectively.
- Act as a point of contact for stakeholders, partners and suppliers.
Requirements
Essential
- Strong experience in finance administration, budget monitoring and working with accountants or finance teams.
- Proven experience in office or operations management.
- Previous experience supervising or managing staff.
- High level of accuracy, attention to detail and organisational skills.
- Strong IT skills including Excel, finance systems and office tools.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Excellent communication and stakeholder-management skills.
