CIMON is looking for a Sales Operations Associate to keep our sales engine running smoothly as we scale. This is a hands-on role where you’ll support the sales team across quoting, order management, invoicing, customer communication, and CRM operations — and play a key role in building AI-powered workflows that make all of it faster and smarter.
You’ll be the operational backbone of a lean, fast-moving sales organization serving customers across the Americas. But we’re not looking for someone who just keeps the lights on. We want someone who sees a repetitive process and immediately thinks about how to automate it. Full training is provided — what matters most is that you’re organized, accountable, and excited about using AI and automation to work better.
This is an early-career opportunity with real room to grow. You won’t be stuck in a back office — you’ll have direct exposure to how a high-growth B2B company operates from end to end, and you’ll help shape how we use AI tools and agents to scale operations without scaling headcount.
What You’ll Do
- Prepare and process customer quotes and proposals in coordination with Sales Engineers and Regional Sales Managers
- Manage order entry, tracking, and fulfillment updates from receipt through delivery
- Generate and reconcile invoices in QuickBooks; follow up on outstanding payments
- Liaise with finance on credit holds, payment status, and invoice questions
- Maintain accurate customer records, deal activity, and deal stages in HubSpot CRM
- Perform regular CRM data cleanup and hygiene to keep the pipeline reliable
- Pull and format basic reports and pipeline summaries for leadership
- Help compile and format weekly, monthly, and quarterly reports for Korea HQ
- Serve as a primary point of contact for inbound customer inquiries related to orders, pricing, and shipping status
- Draft routine customer-facing emails on behalf of the sales team; manage shared inboxes and route inquiries to the right person
- Coordinate with logistics, packaging, and operations to ensure on-time delivery
- Serve as a point of contact for vendors, suppliers, and other external parties
- Help coordinate trade show logistics and lead follow-up afterward
- Track deal registrations and partner documentation in HubSpot
- Assist with onboarding documentation for new customers
- Help track and organize commission-related documentation
- Prep materials for customer meetings or demos as needed
- Identify repetitive manual processes across sales ops and propose ways to automate them using AI tools, workflows, or agents
- Build and maintain automated workflows for tasks like lead routing, follow-up sequences, report generation, and data entry
- Evaluate and implement AI tools to streamline quoting, customer communication, CRM updates, and reporting
- Handle general administrative tasks and office support to keep the team running smoothly
Qualifications
- Bachelor’s degree in Business, Supply Chain, Communications, or a related field
- 1–3 years of experience in sales support, order management, or a similar operations-adjacent role
- Solid understanding of order management, basic supply chain, or B2B business processes
- Proficient in Google Workspace, especially Google Sheets
- Hands-on experience with AI tools (e.g., ChatGPT, Claude, Copilot, Gemini) and a track record of using them to solve real problems — not just curiosity, but actual application
- An automation-first mindset — you see a manual, repetitive process and your instinct is to find a way to automate it
- Clear, professional communicator — written and verbal
- Demonstrated ability to manage shifting priorities and meet deadlines without dropping the ball
- Strong sense of accountability and follow-through
Nice to Have
- Experience with QuickBooks and HubSpot (or similar CRM/ERP tools)
- Familiarity with trade show coordination or event logistics
- Experience building automated workflows using AI tools
- Experience working with international headquarters or cross-cultural teams
- Exposure to industrial automation, manufacturing, or adjacent technical industries
