Position Summary
We are seeking a Sales & Operations Coordinator to support the day-to-day execution of our business across sales, support, marketing, finance, and operations.
This is an early-career role designed for someone who is highly organized, eager to learn, and excited to grow within a fast-paced, customer-focused team. You will work closely with leadership and receive direct training on how our business operates, to take ownership of key workflows over time to increase operational efficiency. This role is intended to increase sales and leadership capacity by taking ownership of recurring administrative tasks and coordination. What matters most in this role is your ability to learn quickly, stay organized, solve problems, and execute responsibilities.
Key Responsibilities
Sales & Revenue Operations Support
- Assist with managing deal flow between our CRM (HubSpot) and accounting system (QuickBooks)
- Assist Sales engineers to generate and send quotes, invoices, and purchase orders based on finalized deals
- Assist with tracking deal progress and ensure the required information is properly reconciled in the CRM
- Support CRM updates, including company records, contacts, deals, software renewals, and product information.
- Track annual software renewals, upcoming software expirations, and follow-up activities in our CRM
- Help coordinate internal handoffs after deals are closed
Customer Coordination & Scheduling
- Schedule and coordinate customer trainings and product demos
- Manage calendars between customers and internal team members for training and shipping
- Assist with onboarding coordination for new customers
Order Processing & Fulfillment Support
- Help coordinate procurement setup and order processing
- Track shipping and fulfillment of products
- Assist with accounts receivable (A/R) follow-ups
Finance & Administrative Support
- Organize and track receipts, expenses, and documentation
- Assist with invoicing follow-ups and payment tracking
- Support coordination with accounting and bookkeeping services
Operations & General Coordination
- Help create and maintain SOPs for recurring workflows
- Manage incoming calls and route appropriately
- Assist with scheduling across the team
- Support travel planning and logistics for events and meetings
- Maintain organized documentation in SharePoint and internal systems
What Success Looks Like
- Within 90 Days:
- Learn Vertical Aspect’s core systems (HubSpot, QBO, internal workflows)
- Successfully support invoicing and scheduling processes
- Build strong working relationships with internal team members
- Demonstrate reliability in completing assigned tasks
- Within 6 Months:
- Take ownership of key coordination and operational workflows
- Improve consistency and organization across assigned tasks
- Reduce administrative burden on sales, support, and leadership
- Within 12 Months:
- Operate independently across multiple workflows
- Identify opportunities to improve processes and organization
- Become a trusted internal resource for coordination and execution
Minimum Requirements
- 0–3 years of experience in a professional environment (internships count)
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and follow through consistently
- Strong communication skills (written and verbal)
- Willingness to learn new tools and systems
- Legally authorized to work in the United States
Preferred Qualifications
- Experience with CRM and accounting systems (HubSpot, QuickBooks Online, or similar)
- Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Experience in administrative, coordination, or customer-facing roles
- Interest in working in a small, fast-growing company
- Experience working with spreadsheets, basic reporting, and data cleanup

Pay: $52,000.00 - $63,000.00 per year
