About The Role
The Business Operations Coordinator performs detailed administrative and data duties to support rebate allocations, MDF/COOP funding and AP/AR processes — including accessing partner portals, tagging rebates to client level, journaling to accounts, raising POs and invoices, and resolving vendor payment queries.
NOTE: This role is available for Australian citizens and residents only.
What You’ll Do
- On time creation of purchase orders and invoices to lodged to vendors portals
- Follow up on invoices pending and walk to completion
- Tagging rebates to client to see the probability
- Rebate & funding administration: access partner portals, tag rebates to client level, journal to accounts, and maximize COOP/MDF funding.
- MDF/COOP processing: enter data into vendor sites, compile activity records, raise invoices and purchase orders to support rebate and funding claims.
- AP/AR & vendor management: action invoice and payable queries, liaise with vendors/distributors and internal teams to resolve disputes and ensure timely payments.
- Purchase order & invoice workflow: create POs and invoices on time, follow up on outstanding items and drive transactions to completion.
- Reporting & reconciliation: produce weekly reports on claimed/outstanding funding and accurately distribute funds across business units/states as required
What You’ll Bring
You will be a professional person who has great communication skills - both written and verbal.. You can demonstrate a strong ability to work effectively, prioritizing your tasks to meet deadlines and looking for constant improvement allowing you to respond correctly quickly and easily to changing demands, deadlines, and priorities. We are looking for:
- High attention to detail and strong organizational skills.
- Proficiency in Excel and Power BI; experience with data ingestion/ETL tools and SQL is desirable.
- Experience with vendor portals, PO/invoice processing, and basic accounting journaling.
- Strong problem-solving, stakeholder management and written/verbal communication skills.
- Ability to work cross-functionally and manage multiple priorities to meet deadlines.
