The
Haskayne School of Business is currently seeking a Full-time Limited Term
Business Operations Coordinator for approximately 24 months.
The Haskayne Centres at the Haskayne School of Business support a diverse portfolio of programs, partnerships, and experiential learning initiatives that connect students, faculty and the community. This includes the Centre for Entrepreneurship and Innovation, Canadian Centre for Advanced Leadership in Business, Westman Centre for Real Estate Studies, Trico Foundation Social Entrepreneurship Centre and Social Impact initiatives, as well as programs such as Propel and The Real Deal.
Reporting to the Director, Haskayne Centres, the Business Operations Coordinator provides independent coordination of financial and operational activities in support of Centre programs within established guidelines and reporting structures.
The position operates in a complex environment with multiple funding sources (donor, grant and operating), high-volume transactions and concurrent programs with internal and external stakeholders. The role requires independent judgment, analytical thinking and problem-solving within University policies and procedures.
Work includes cyclical financial processes, budget tracking and reporting, procurement coordination and program logistics. The incumbent manages competing priorities and deadlines tied to program delivery, funding requirements and reporting timelines.
Due to operational requirements, this position works predominantly in-office. The primary hours of work are Monday to Friday, 8:30 A.M. to 4:30 P.M, 7 hours per day (35 hours per week); however, there may be a demand to work outside of these hours. This position is a part of the AUPE Collective Bargaining Unit.
Summary of Key Responsibilities (job functions include but are not limited to):
Financial Administration and Budget Coordination
- Support the financial coordination across the Haskayne Centres, ensuring accurate and timely processing of transactions across multiple Centres and programs Independently manage financial processes including:
- expense claims
- purchase requisitions and purchase orders
- invoices and payment requests
- deposits and journal entries
- corporate card reconciliations
- Track and monitor Centre and program budgets:
- maintain budget tracking tools
- identify and flag variances for review, investigating where appropriate
- escalate risks or issues as appropriate
- Support the preparation of financial reports, forecasts and summaries for Centre leadership
- Contribute to identifying opportunities to improve financial and operational processes across the Centres
- Develop and maintain standardized tools and templates for tracking and reporting
- Provide clarification and support for Centre staff on financial procedures and administrative processes
- Contribute to consistency and efficiency across Centres operations
- Support the preparation of financial reports, forecasts and summaries for Centre leadership
- Ensure all financial activities comply with University policies and procedures
- Liaise with Finance Services and Research Accounting to resolve issues and ensure accuracy
Financial Analysis and Reporting
- Compile and summarize financial data across Centres to support the identification of trends, risks and opportunities
- Prepare regular and ad hoc financial and operational reports
- Review discrepancies and escalate for further analysis as appropriate
- Support budget planning by providing data, background information and historical context
- Maintain accurate and up-to-date financial tracking systems and documentation
Supply Chain and Procurement Coordination
- Coordinate procurement activities in alignment with University Supply Chain Management policies and procedures
- Work with finance services and procurement to support vendor engagement including:
- supplier setup and maintenance
- contract coordination and documentation
- tracking deliverables and payments
- Ensure appropriate documentation and approvals are in place for procurement activities
- Liaise with Supply Chain Management to resolve issues and ensure compliance
- Monitor procurement timelines to support program and operational needs
Operational and Program Support
- Provide operational and logistical support to Centres programming and events, as required
- Work with program leads where needed to support delivery, including:
- room bookings and space coordination
- catering, vendor and AV coordination
- travel and accommodation arrangements
- Act as a point of contact for operational inquiries when supporting specific initiatives
- Attend events as support, as required
Qualifications / Requirements:
- Post-secondary certificate, diploma, or undergraduate degree in business, accounting, or related field
- 4-6 years of progressive experience in financial administration, operations, or program coordination
- Demonstrated experience with budget tracking, reconciliation, and financial reporting
- Experience supporting programs with multiple funding sources an asset
- Strong analytical skills with the ability to interpret financial and operational data
- Advanced proficiency in Excel and strong working knowledge of Microsoft Office Suite
- Experience with PeopleSoft, eFin, COGNOS, or similar systems an asset
- Experience with procurement, vendor coordination and contract administration an asset
- Strong organizational and time management skills in a high-volume, deadline-driven environment
- Excellent communication and stakeholder management skills
- High level of accuracy, attention to detail, and professionalism
- Ability to exercise sound judgment and maintain confidentiality
- Experience in a post-secondary or community-engaged environment an asset
