North Berkeley Imports, a national fine wine and craft spirits importer based in Berkeley, California since 1979, is looking for a detail-oriented, proactive team member who enjoys wearing many hats within a dynamic sales environment.
Our Sales Operations Specialist will not just support our growing national sales team with daily business but also interact with partner companies and federal agencies to keep licences, brand registrations and inventory up to date and accurate.
We are a family-owned business with employees based in both the United States and Europe, many of whom have been with the company for decades. We’re looking for an individual for whom working under deadline pressure is second nature, who enjoys problem solving and being part of a great team of professionals who truly love what they do.
Job responsibilities include but are not limited to the following:
Sales Support
- Assist sales team with placing customer orders
- Review and process credit applications for new customers
- Manage order entry and monthly sales reconciliations for Oregon warehouse
- Organize FedEx and GLS shipments as needed
State Licenses & Brand Registration Management
- Oversee and maintain liquor licenses in 26 states
- Lead oversight of all licensing requirements and administer renewals
- Manage and conduct registration of wine brands with states
- Audit state brand registrations on a regular basis to ensure compliance
Database Management & Sales Oversight
- Manage NBI products in partner corporate databases
- Coordinate with database administrators to ensure timely product review
- Ensure NBI product information is correctly presented and maintained
- Troubleshoot database issues
Label Approvals Management
- Manage wine label image files
- Monitor list of needed labels and follow up as needed
- Implement application for COLA label approval
Sales Reporting
- Compile weekly, monthly and quarterly sales reports for executive team
- Create reports for sales team on as-needed basis
Inventory Management
- Assist executive team with inventory management including: product returns, sales allocations and inventory adjustments
- Review paperwork for incoming wine to ensure database accuracy
Job qualifications include:
- Minimum 2 years’ experience with general business operations management
- Advanced proficiency with Excel and Adobe Suite apps
- Strong communication skills, written and verbal
- Ability to work in a fast-paced business environment; attention to detail, general organization and multitasking skills are required
The following skills are recommended, but not required, for this position:
- Experience with Oracle/NetSuite customer relationship management software
- Experience with database management
- Experience with compliance and/or working with government agencies
- Experience utilizing AI tools for business reporting
