GEP is seeking an experienced Deal Desk Manager to own and optimize the approval workflows that sit at the intersection of Sales, Legal, Finance, and Executive leadership. This is a high-impact role responsible for accelerating deal velocity, reducing cycle times on contract reviews, and ensuring that enterprise transactions move through GEP’s approval framework with precision and accountability.
The ideal candidate brings deep command of enterprise software deal structures, master services agreements, and SaaS contracting norms — paired with the operational instincts to build scalable processes and the stakeholder skills to navigate complex multi-party negotiations.
Key Responsibilities:
Deal Structuring & Coordination:
- Serve as the primary Deal Desk resource for enterprise and mid-market deals, owning the handoff between Sales, Legal, for contract initiation, redlines, and execution.
- Manage the full contract lifecycle — from initial term sheet and SOW structuring through MSA red lines, approval routing, and countersignature.
Approval Process Management:
- Design, maintain, and continuously improve GEP’s deal approval workflows, including discount authorization, non-standard term approvals, custom pricing exceptions, and revenue recognition flags.
- Build and manage approval matrices in HubSpot CRM aligned to deal size, contract type, and risk level — reducing manual routing and approval lag.
- Work closely with Finance, Revenue Ops, and Executive stakeholders to ensure approval policies are current, well-documented, and consistently applied.
- Identify bottlenecks in the approval chain and implement process improvements (automation, escalation protocols, pre-approval thresholds) to drive cycle time reduction.
- Maintain a clear audit trail of deal approvals and exceptions for compliance and internal review purposes.
Cross-Functional Collaboration:
- Act as a trusted advisor to the Sales team on deal structure, pricing strategy, enabling reps to close faster with confidence
- Collaborate with Revenue Operations on pipeline reporting, deal health tracking, and forecast integrity as it relates to contract status and close timing.
- Support Sales leadership in QBRs and deal reviews with data on approval cycle times, redline frequency, and deal stage bottlenecks.
- Coordinate with Finance on order form accuracy, billing terms, revenue recognition implications, and booking requirements.
Systems & Process Excellence:
- Own and optimize Deal Desk tooling and workflows within HubSpot CRM, including deal stage governance, approval task automation, and document management integrations (e.g., Docusign, Ironclad, or similar CLM platforms)
- Build and maintain Deal Desk dashboards and reporting to track KPIs: approval cycle time, contract redline rounds, win rate by deal type, and average days to signature.
- Drive adoption of contract templates and self-service tools that reduce friction for Sales without increasing legal risk.
Qualifications:
- 5+ years of Deal Desk, Sales Operations, or Contract Operations experience in a B2B enterprise software or SaaS environment
- Demonstrated expertise in enterprise contract structures — MSAs, SOWs, SaaS order forms, DPAs, and professional services agreements
- Experience building or significantly improving approval workflows and deal governance frameworks at scale
- Strong working knowledge of HubSpot CRM (no-negotiable), including deal pipeline management and workflow automation
- Comfort working directly with Legal counsel on complex negotiations
- Exceptional organizational skills with the ability to manage multiple high priority deals concurrently under time pressure
- Strong analytical skills; able to build and maintain reporting on Deal Desk KPIs and surface actionable insights to leadership
- Preferred
- Familiarity with CLM platforms (Ironclad, DocuSign CLM, Conga, or similar)
- Background working in global deal environments across North America, EMEA, and APAC
- Understanding of revenue recognition principles (Ind AS 115 / ASC 606) and how contract terms affect booking and forecasting
What Success Looks Like
In the first 90 days, you will have audited GEP’s current approval and contract workflows, identified the top 3–5 cycle time bottlenecks, and delivered a prioritized roadmap for improvement. Within six months, you will have reduced average contract approval cycle time, established clear approval matrices in HubSpot, and become the go-to resource for Sales and Legal on deal structuring questions.
