Position Overview
The Business Operations Manager serves as the operational right hand to our Director of Operations and plays a critical role in driving consistency, efficiency, and innovation across the organization.
This position is designed for an experienced property management professional who understands both on-site operations and portfolio-level execution. You'll lead operational initiatives, improve internal processes, help implement new technology, and ensure our teams have the systems and support they need to perform at a high level.
Success in this role requires someone who naturally identifies inefficiencies, enjoys solving operational challenges, and actively looks for ways artificial intelligence and automation can eliminate repetitive work, improve decision making, and strengthen company performance.
This is not a maintenance role. We're looking for someone who wants to build, improve, and continuously evolve how we operate.
Essential Responsibilities
Operational Excellence
- Partner directly with the Asset Manager and team to execute company initiatives and strategic priorities.
- Evaluate existing workflows and redesign processes for greater efficiency, consistency, and scalability.
- Develop, document, and maintain company Standard Operating Procedures (SOPs).
- Lead operational improvement projects from planning through implementation and adoption.
- Identify opportunities to centralize administrative and operational functions.
- Monitor execution across departments and ensure operational standards are consistently followed.
AI & Process Innovation
- Champion the use of artificial intelligence throughout daily operations.
- Research, test, and implement AI tools that improve productivity and reduce manual work.
- Identify repetitive tasks suitable for automation.
- Train team members on practical AI applications that improve performance.
- Continuously evaluate emerging technology and recommend new operational solutions.
Technology & Systems
- Serve as an operational subject matter expert for company systems and software.
- Assist with implementation, optimization, and adoption of operational technology.
- Maintain data accuracy and operational consistency across platforms.
- Troubleshoot operational system issues and partner with vendors when needed.
- Recommend improvements that increase efficiency across departments.
Training & Operational Support
- Develop operational training materials and internal documentation.
- Support onboarding of new team members on company systems and processes.
- Provide operational guidance and coaching to managers and property teams.
- Lead training sessions on new procedures, technology, and best practices.
Property Operations Support
- Assist with operational onboarding of newly acquired communities.
- Support system setup, implementation, and operational transitions.
- Ensure new properties adopt Spark standards quickly and effectively.
- Collaborate with leadership to improve operational performance across the portfolio.
Qualifications
- Minimum 5 years of property management and operations experience required.
- Strong understanding of multifamily operations and portfolio management.
- Experience improving operational workflows and developing scalable processes.
- Comfortable leading change and driving accountability.
- Experience with property management software such as ResMan preferred.
- Experience with AI platforms such as ChatGPT, Claude, Gemini, or similar tools strongly preferred.
- Strong technical aptitude with Google Workspace and modern business software.
- Bachelor's degree is preferred but equivalent experience will be considered.
