cKinetics, a specialized Sustainability Consulting firm, is looking for a highly organized and proactive Business Operations / Administrative Executive with strong problem-solving and analytical skills. This role is a key support position with responsibilities spanning business analysis, contract and proposal documentation and ad-hoc administrative tasks.

Key responsibilities
The role envisages the following areas of activities:
1. General Business Operations Coordination and MIS support
a. Support the team and Senior Leadership management on ad-hoc operations and administrative requirements
b. Collate and analyze assigned data to spot trends, track performance metrics, and build reports or dashboards
c. Maintain operational trackers, calendars, checklists, records, and follow-up lists
d. Proactively follow up on pending tasks, deadlines and escalate critical delays where required to ensure timely closure of action items
e. Ensure assigned tasks are undertaken with due care and completed accurately in a timely manner
2. Timesheet and Leave Record Management
a. Maintain and consolidate monthly timesheet data for the team per defined formats and needs indicated by the team
b. Maintain accurate employee leave records and related MIS tracker; support monthly reconciliation and submission of leave information for payroll purposes; identify discrepancies and coordinate timely corrections
c. Work with teams and departments and recommend processes and policies to replace or improve upon current methods
3. Corporate Records & Business Documentation management
a. Review, maintain and organize company contract files, agreements, renewals, and related documentation while ensuring complete confidentiality of all corporate records
b. Coordinate with internal teams and external agencies as needed for assigned tasks including Board meetings, compliance and statutory formalities; and maintain all documentation related to these
c. Ensure confidentiality and appropriate access controls for sensitive business information
Candidate Requirements
The ideal candidate will be experienced in handling a wide range of business operations tasks and will be able to work independently with little or no supervision. The ability to interact with the team (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
A few ‘Must Haves’:
- Bachelor’s degree in finance, business, or a related field with minimum of Five (5) years of relevant experience in the kind of role described above. Experience in management consulting, Sustainability and /or Climate tech companies is a plus.
- An excellent grasp of the Microsoft office suite esp. Advanced MS Excel, SQL and business communication tools
- Excellent analytical and problem-solving abilities; strong attention to detail and ability to analyze processes and data
- A steady employment background that demonstrates sincerity to one's role
