Cynos Express LLC is a multicultural, Asian-owned small business based in East Rutherford, New Jersey, building and operating a growing portfolio of consumer businesses. Our company was founded by an Asian founder, and our team brings together people and perspectives from China, Korea, the U.S., and other backgrounds. We value a workplace where different cultural perspectives are understood and respected, and where communication can remain direct, practical, and collaborative. We are still a small company, which means our working environment is very different from that of a large corporation. People work closely across functions, responsibilities can overlap, and decisions can move quickly. At the same time, we are actively transitioning from a founder-led small business into a more structured organization with clearer systems, responsibilities, accountability, and operating processes. We are now looking for an experienced Business Operations Manager who can help lead that transition.
The Role
This is a key internal operating position working directly with the Founder.
The Business Operations Manager will take ownership of much of the company's day-to-day internal operations: employee attendance and scheduling, project and task follow-up, administrative processes, hiring coordination, documentation, vendor coordination, and the implementation of internal systems and policies.
The central objective is simple: Keep the organization organized, accountable, and moving without requiring the Founder to personally manage every routine operational detail.
This is not an administrative assistant position, and it is not intended as an entry-level opportunity. We are specifically looking for someone who has already worked in a professional environment and has demonstrated experience managing operations, people, projects, administrative processes, or a meaningful combination of these responsibilities.
You should already understand what it means to be responsible for other people's deadlines, maintain accurate records, follow up without being reminded, handle sensitive information professionally, and recognize when something requires management attention.
Because many of our internal systems are still being developed, this position also requires someone capable of building structure — not simply following structure that already exists.
People Operations & Accountability- Manage day-to-day attendance, scheduling, absences, and related employee records
- Maintain visibility into what employees are working on and the status of assigned responsibilities
- Track deadlines, commitments, and outstanding work across the company
- Follow up directly with employees when work is incomplete, delayed, or unclear
- Identify recurring performance, attendance, communication, or workflow issues
- Escalate meaningful issues to the Founder with clear and organized information
- Help ensure that established company policies and operating standards are followed consistently
- Maintain appropriate confidentiality regarding employee and company matters
- Support onboarding, training coordination, and offboarding
Project & Workflow Management- Maintain an organized overview of active company projects, responsible owners, deadlines, dependencies, and next steps
- Follow up with project owners without requiring the Founder to initiate every follow-up
- Identify stalled projects or missing information before they become larger problems
- Prepare status information for management review
- Record important decisions and ensure resulting action items are completed
- Coordinate responsibilities that cross departments or functions
- Help establish realistic timelines and improve visibility across ongoing work
Weekly Meetings & Operating Cadence- Organize and lead the company’s regular weekly team meeting
- Prepare the meeting agenda in advance based on active projects, deadlines, operational issues, and items requiring discussion
- Collect relevant updates from team members before the meeting when necessary
- Keep the meeting structured, focused, and within the intended timeframe
- Review major ongoing projects, deadlines, priorities, and outstanding responsibilities with the team
- Identify projects or responsibilities that are delayed, unclear, or require additional follow-up
- Ensure that each important discussion concludes with a clear decision, owner, or next step
- Document key decisions, action items, responsible owners, and deadlines
- Distribute or maintain meeting notes and action items in the appropriate internal system
- Follow up during the week to ensure commitments made during the meeting are completed
- Escalate matters requiring Founder-level direction or approval rather than allowing them to remain unresolved
- Continuously improve the weekly meeting structure as the company and team grow
Internal Systems & Process Development- Creating and maintaining internal trackers and operational dashboards
- Developing repeatable workflows for recurring activities
- Helping document company procedures and operating guidelines
- Identifying processes that are unnecessarily dependent on the Founder
- Identifying recurring operational problems and proposing practical solutions
- Improving how information, responsibilities, deadlines, and decisions are documented
- Helping implement new software and internal tools where useful
- Maintaining systems after they are implemented rather than allowing them to become outdated
Administrative Operations- Maintain organized company documents, records, internal files, and administrative information
- Coordinate recurring business obligations, deadlines, renewals, and filings
- Assist with business documentation, insurance records, compliance materials, and related administrative matters
- Maintain internal calendars and recurring operational schedules
- Coordinate routine invoices, documentation, and administrative communication
- Handle routine operational matters independently when Founder-level approval is not necessary
- Ensure important administrative responsibilities do not fall through the cracks
Hiring & Employee Administration- Coordinate job postings through Indeed, LinkedIn, and other recruiting platforms
- Organize incoming applications and candidate information
- Conduct or assist with initial candidate screening
- Coordinate interviews with management
- Maintain hiring documentation and records
- Assist with onboarding and initial employee setup
- Maintain organized employee records
- Help ensure that established hiring procedures are followed consistently
Vendor & External Coordination- Communicate with vendors, logistics partners, professional service providers, and other outside parties regarding routine operational matters
- Track outstanding requests and required responses
- Follow up proactively rather than waiting for outside parties to respond indefinitely
- Maintain organized records of important external communication
- Escalate issues involving significant financial, legal, product, or strategic consequences
A major part of this role is serving as the operational counterpart to the Founder.
The Founder will remain responsible for company direction, product development, creative direction, major strategic decisions, significant financial decisions, and final approval on important company matters.
The Business Operations Manager will be responsible for helping ensure that the organization actually executes those decisions consistently.
We are looking for someone who combines organization with judgment.
Being detail-oriented is necessary, but not sufficient.
The right person must also understand context, priorities, people, and consequences.
You should be someone who:
- Naturally keeps information, responsibilities, and deadlines organized
- Notices when something is missing, late, inconsistent, or unclear
- Follows through without needing repeated reminders
- Is comfortable asking employees for updates and holding people accountable
- Can communicate directly while remaining professional
- Understands when to act independently and when to escalate
- Can manage several unrelated responsibilities simultaneously without losing important details
- Can create structure when no established procedure exists
- Is comfortable working closely with a Founder
- Understands that small-company roles sometimes require helping outside a narrowly defined job description
- Treats confidential employee, financial, and company information appropriately
- Is comfortable working with people from different cultural and professional backgrounds
Required This is not an entry-level position.
Applicants must have prior professional experience relevant to the responsibilities of this role.

Candidates should also have:
- Demonstrated experience managing deadlines, responsibilities, projects, or people
- Strong proficiency in Excel and/or Google Sheets
- Strong proficiency with Google Workspace and common workplace software
- Experience maintaining organized records, trackers, or operational documentation
- Strong attention to detail
- Demonstrated professional judgment and discretion
- Ability to learn new software and systems quickly
- Ability to work full-time on-site in East Rutherford, New Jersey

Compensation

- Starting Salary: $60,000/year
