Key Responsibilities:1. Office Management:
- Oversee daily office operations and ensure a smooth workflow.
- Manage office supplies, equipment, and maintenance.
- Coordinate with vendors, suppliers, and service providers.
- Ensure the office environment is organized, professional, and conducive to productivity.
2. Human Resources (HR) Functions:
- Handle employee onboarding, including documentation, orientation, and training.
- Manage employee records, attendance, and leave tracking.
- Assist in recruitment processes, including job postings, screening resumes, and scheduling interviews.
- Address employee queries and concerns, acting as a point of contact for HR-related issues.
- Support performance management processes, including appraisals and feedback sessions.
- Ensure compliance with labor laws and company policies.
3. Project Assistance:
- Assist the senior engineer in project planning, coordination, and execution.
- Prepare and maintain project documentation, including schedules, budgets, and progress reports.
- Track project timelines and deliverables, ensuring deadlines are met.
- Liaise with internal teams and external stakeholders to facilitate project communication.
- Assist in financial aspects of projects, such as budgeting, cost tracking, and invoicing.
4. Financial Management:
- Assist in preparing financial reports, budgets, and forecasts.
- Monitor office expenses and ensure cost-effectiveness.
- Handle petty cash and reimbursements.
- Support the finance team in bookkeeping and payroll processing (if applicable).
5. Administrative Support:
- Schedule meetings, prepare agendas, and take minutes.
- Manage calendars and travel arrangements for senior staff.
- Handle correspondence, emails, and phone calls in a professional manner.
- Perform other administrative tasks as required.
Qualifications:
- Education: MBA in Finance, Human Resources, or General Management (preferred).
- Experience: 2-5 years of experience in office management, HR, or project coordination (experience in the engineering or construction industry is a plus).
- Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Excel, Word, PowerPoint) and project management tools.
- Basic understanding of financial principles and budgeting.
- Knowledge of HR practices and labor laws.
- Ability to work independently and as part of a team.
