About the Role
We are seeking a Sales Operations Specialist to support the sales organization through efficient order processing, vendor coordination, customer communication, and cross-functional collaboration. This role is critical to ensuring smooth sales operations and delivering a high level of customer service throughout the order lifecycle. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment.
Work Location: Onsite (Hayward, CA)
Key Responsibilities
- Validate and process customer orders accurately and efficiently
- Communicate with vendors and manufacturers regarding order requirements and status updates
- Manage vendor quotations, negotiate payment terms, and follow up on order progress
- Understand and follow established guidelines, workflows, and operational processes
- Support multiple sales managers and manage multiple orders simultaneously
- Monitor order status and proactively provide updates to customers
- Serve as a point of contact for the department and collaborate with cross-functional teams including Finance, Sales, and Engineering
- Coordinate with the Logistics department to ensure timely product deliveries
- Maintain and update sales records, customer information, and operational documentation
- Prioritize tasks effectively and resolve issues in a timely and professional manner
Qualifications
- Bilingual English and Mandarin strongly preferred
- Strong customer service orientation with a goal-driven mindset
- Excellent analytical, organizational, and multitasking skills
- Detail-oriented with a willingness to learn and adapt
- Ability to prioritize responsibilities and manage time effectively in a fast-paced environment
- Strong communication and collaboration skills with the ability to work across teams
Preferred Qualifications
- Experience working with ERP/CRM platforms, with NetSuite experience preferred
- Experience supporting sales operations, order management, or customer service functions preferred
- Ability to manage multiple stakeholders and competing priorities effectively
