Key Accountabilities
Executive & Office Support
- Provide proactive, high‑level administrative support to the CFO, ensuring the efficient day‑to‑day operation of the executive office
- Serve as a key point of contact for internal and external stakeholders, exercising sound judgement, discretion, and professionalism
- Support additional members of the Finance leadership team as required
Calendar, Communication & Coordination
- Manage complex executive calendars, including scheduling across competing priorities, multiple stakeholders, and time‑sensitive commitments
- Prepare agendas, coordinate meetings, and take accurate, well‑structured minutes with clear action items and follow‑ups
- Coordinate leadership meetings, planning sessions, and working groups
Document, Presentation & Workflow Management
- Prepare, format, and edit high‑quality executive materials, including PowerPoint presentations, Word documents, reports, and briefing notes
- Ensure a high degree of accuracy, consistency, and professionalism across all written and presentation materials
- Maintain strict version control, document tracking, and records management standards
Reporting & Project Support
- Assist with preparing reports, summaries, and materials requiring executive review or approval
- Track deliverables, deadlines, and action items to ensure timely follow‑through
- Support special projects and ad hoc initiatives as requested by the CFO
Confidentiality & Professionalism
- Handle sensitive and confidential information with discretion, integrity, and sound judgement
- Represent the CFO’s office with professionalism, diplomacy, and credibility at all times
Qualifications
- Minimum 5–7 years of progressive Executive Assistant experience, with direct experience supporting a CFO, C‑suite executive, or equivalent senior leadership role
- Post‑secondary education in Business Administration, Office Administration, or a related field, or equivalent experience
- Demonstrated experience managing complex calendars, executive correspondence, and senior‑level meeting coordination
- Advanced technical proficiency in Microsoft Office, including PowerPoint (executive‑level presentations and briefings), Word (reports, correspondence, formatting, templates) and Excel (basic to intermediate reporting and data support)
- Proven experience preparing agendas, taking detailed and accurate minutes, and tracking follow‑ups
- Exceptional attention to detail with the ability to maintain accuracy in a fast‑paced, high‑volume environment
- Experience supporting Finance executives or leadership teams is an asset
- Experience working in a complex, regulated, or public‑sector environment is an asset
- Strong organizational skills with the ability to manage competing priorities confidently and calmly
- Excellent written and verbal communication skills
- High level of discretion, professionalism, and maturity when handling confidential matters
- Proactive, resourceful, and solutions‑oriented
- Comfortable working independently while collaborating closely with senior leaders and peers
