Overview:
The Sales Operations Specialist supports the Wholesale Grocer & International division by facilitating efficient operational processes from order entry to client support. This position focuses on providing detailed assistance to current and prospective clients, coordinating international order logistics, and serving as a primary point of contact among sales, logistics, and finance teams. It is well-suited for someone who excels at delivering high-quality client service, demonstrates strong attention to detail, and thrives in a dynamic, fast-paced environment.
Key Responsibilities:
- Client Education & Support: Provide detailed product information, ordering guidance, and program education to prospective and existing wholesale and international clients
- International Sales Coordination: Assist international sales process—including documentation, shipping coordination, customs requirements, and distributor follow-ups
- Operational Support : Ensure accurate and timely order processing across wholesale channels, with special attention to large retailers (e.g., Sprouts), distributors (e.g., UNFI, KeHE), and international partners (e.g., iHerb)
- CRM & System Management: Maintain clean, accurate records of wholesale activity in CRM and ERP systems (e.g.,SPS, NetSuite); generate reports as needed
- Sales Process Optimization: Identify inefficiencies in the ordering, communication, and client onboarding processes and help implement improvements
- Cross-Functional Collaboration: Work with the finance team to support international invoicing and payment processes; work with logistics to track deliveries and resolve shipping issues
- Trade Show & Event Coordination: Assist with logistics and post-show follow-up related to international buyers and wholesale grocery accounts
- Documentation & SOPs: Create and maintain SOPs and reference materials to streamline wholesale operations and client onboarding
- Back-End Support for Promotions: Coordinate promotional pricing and product launches with internal teams and external partners
Qualifications:
- 1-3 years in sales operations, international sales coordination, or account management within CPG, supplements, or natural products
- A strong understanding of international shipping, documentation, and wholesale processes is considered an added plus.
- Experience with ERP (e.g., NetSuite), SPS Commerce, and CRM tools; advanced Excel or reporting tool skills a plus
- Exceptional written and verbal communication skills; comfortable educating clients one-on-one or in small webinars
- Highly organized and able to coordinate many moving parts across teams and partners
- Familiarity with UNFI, KeHE, or natural products distribution channels preferred
- Comfortable attending trade shows and engaging with wholesale customers
Language Skills:
Must speak English. Must have solid written and verbal communication skills, ability to pay attention to detail, and the ability to maintain confidentiality.
Physical Requirements:
May be required to lift up to 25 pounds. Prolonged periods of sitting at a desk. Utilizing a computer for extended periods at a time.
