About the Role
We are looking for a Business Operations Manager, working in Hamburg directly with our Founder & CEO to drive priorities, structure, and cross-functional execution. You will act as a central point of coordination around the CEO: turning ideas and discussions into concrete plans, keeping follow-ups on track, and driving small but important projects across sales, partnerships, finance and internal operations. Your work will give Markus more focus and help the whole organization run more smoothly.
This role is ideal for someone who enjoys owning problems end-to-end, bringing clarity into complexity, and working very close to the strategic center of a company.
Key Responsibilities
1. CEO Support & Prioritization
- Structure the CEO’s weekly priorities (customers, deals, key projects, internal topics).
- Prepare important meetings (agenda, materials, context) and capture outcomes (decisions, tasks, owners, deadlines).
- Follow up with stakeholders to ensure critical actions are completed and nothing falls through the cracks.
- Act as a sparring partner for the CEO on planning, trade-offs, and internal communication.
2. Business Operations & Processes
- Maintain simple, lightweight operational overviews (e.g. pipeline, key customer/project status, core KPIs relevant for decisions).
- Drive cross-functional mini-projects (e.g. standardizing offer templates, refining partner processes, improving internal cadences).
- Help define, document and improve internal processes: meeting rhythms, reporting formats, decision logs, and guidelines.
3. Sales & Partner Operations
- Support management of the sales and partner pipeline: keep CRM/overviews up to date, track next steps, coordinate follow-ups.
- Prepare short decks, 1-pagers and summaries for customer and partner conversations.
- Coordinate with CTPO, Product, and Delivery teams to align what is promised to customers with what can be delivered (scope, timelines, effort).
4. Admin / Finance / Legal Coordination
- Coordinate with external parties (accounting, tax advisor, payroll, legal, etc.) and prepare inputs for them.
- Help with general organizational and office topics in Hamburg as needed.
Profile
Experience & Background
- 2–6 years of experience in business operations, consulting, founder’s associate / CEO office, strategy & ops, or a similar generalist role.
- Experience in a B2B SaaS, tech, or startup/scale-up environment is a strong plus.
- Comfortable working across multiple domains (sales, ops, finance, people topics on a coordination level, product) and switching context quickly.
Skills
- Excellent structuring and organizational skills – you turn messy input into clear plans, lists and timelines.
- Strong communication skills, written and verbal – you can summarize complex topics in simple, precise language.
- Confident with numbers (basic analysis in Excel/Sheets) and presentations).
- Hands-on with tools like Microsoft 365 / Google Workspace, CRM systems, and project tools (e.g. YouTrack, Jira, Asana).
