This role will be within the
AutoSync team. AutoSync supports over 3,500 dealerships nationwide, delivering cutting-edge software tools to simplify operations, boost marketing, and drive sales.
The
Sales Operations & Billing Coordinator delivers professional administrative, billing, and customer account support for key digital products (including Trffk and Motoinsight). This role is responsible for managing invoices and credits, processing renewals, maintaining accurate account data, and producing regular reports that support revenue performance and decision-making. The coordinator also handles day-to-day case management and operational tasks that keep our platforms and accounts running smoothly.
Key Areas of Responsibility - Operations, Billing & Credits:
- Assist with insertion orders and processing weekly invoices.
- Review and verify TRFFK monthly invoice spend against actual spend, obtain approvals, and create purchase orders in Coupa.
- Process daily credit requests (simple to complex) accurately and on time.
- Identify and process discount opportunities as they arise, ensuring proper documentation and approvals.
- Digital Product & Platform Administration:
- Manage and resolve daily TRFFK cases to ensure timely issue resolution.
- Process Motoinsight renewals on a daily basis, based on incoming volume.
- Manage the Auto Sync inbox, including buy/sell transactions, name changes, new account creation in Motoinsight/Salesforce, and account mapping.
- Update the master spreadsheet and Motoinsight accounts with product churn, cancellations, and activations.
- Data Entry, Reporting & Data Quality:
- Complete ongoing data entry and data clean-up projects to maintain accurate, reliable records across systems (e.g., spreadsheets, CRM, Motoinsight).
- Produce daily, weekly, and monthly operational reports (e.g., churn/activation updates and other agreed metrics) to support visibility into performance.
- Support processing of mailers, fax-outs, and email blasts to existing clients and prospects as needed.
Education, Experience & Technical Skills
- High School diploma with some college courses (required).
- Administrative Assistant Certificate or equivalent (an asset).
- 2+ years of administrative experience, preferably in sales operations, billing, or customer account administration.
- Advanced English skills, both written and spoken.
- Strong proficiency in Excel, Word, PowerPoint, and Outlook, with intermediate internet skills (required).
- Experience with systems such as Salesforce, Coupa, and/or AVUS is an asset.

Compensation
The expected compensation for this position is: $65,000 - $75,000 CAD.
