The Role
The Business Operations & Systems Manager serves the structural backbone of the company. You will build and enforce business systems, implement and optimize CRM and finance tools and integrate AI-driven automation to improve efficiency and visibility across the organization. You’ll also oversee the execution layer of finance operations.
This is not a clerical admin role. This role is for a systems-minded operator who creates clarity, discipline, and leverage. You will work closely with the C-Suite team and our senior accountant, acting as the bridge between day-to-day operations and strategic oversight.
What You’ll Own
Systems Architecture & Automation
- Architect and optimize CRM structure (templates, workflows, dashboards). Proven success architecting CRM software like Asana or ClickUp is mandatory.
- Build automation for reporting and task tracking.
- Implement AI-assisted workflows to streamline documentation and communication
- Connect software tools ( Ramp, CRM, Quickbooks, HubSpot) into a cohesive system
- Create and maintain internal SOP documentation
- Lead system training and adoption across the team
Operational Process Improvement
- Identify inefficiencies and design scalable process improvements
- Create reporting dashboards that improve visibility into margin, schedule, and cash flow
- Reduce administrative load on leadership
- Improve internal accountability structures
Finance
- Oversee issuance of client invoices based on PM data and approved AM estimates
- Ensure all estimates and change orders are captured before final billing
- Validate margin alignment against project budgets
- Track AR/AP aging and manage follow-up
- Enforce cost coding discipline within Ramp and accounting systems
- Route approvals appropriately and ensure job-level allocation accuracy

Qualifications
- 5+ years in operations, finance operations, business systems, or similar role
- Bachelor’s degree in Business, Operations, Finance, or related field preferred.
- Experience implementing project management software
- Experience managing AP/AR workflows and platforms like QuickBooks & Ramp
- Strong working knowledge of budgeting and cost allocation
- Advanced proficiency with Excel / Google Sheets
- Familiarity with automation and AI-based workflow tools
- Comfortable working in a fast-paced, fabrication / production environment
