We are seeking a dependable and detail-oriented Business Operations Manager who is excited to play a central role in supporting the operational foundation of a growing, idea-driven agency.
The Opportunity
This role is ideal for someone who thrives on structure, process, and follow-through, and enjoys being the person who keeps systems running smoothly behind the scenes.
As Business Operations Manager at Smith, you will help ensure that once new business is secured, it is seamlessly set up, billed, tracked, supported, and closed out. Your work will provide the operational stability that allows our leadership team and publicists to focus on client strategy, media relationships, and growth.
This position will report directly to the CEO and work closely with multiple teams across the organization. While the role does not require strategic ownership on day one, it does require strong judgment, accountability, and the ability to manage multiple operational workflows with consistency and care.
Over time, there will be opportunities for this role to expand into broader operational leadership as the agency continues to grow.
What You’ll Do
- Own invoicing, billing, collections, and payment tracking, ensuring accurate setup and recordkeeping in Salesforce and QuickBooks
- Support day-to-day financial operations, including reimbursements, invoice reconciliation, payments, commissions, and expense tracking
- Enter, update, and maintain accurate opportunity and campaign data in Salesforce
- Maintain campaign timelines and ensure invoice and payment status are consistently reflected across systems
- Manage opportunity close-out processes and end-of-campaign documentation
- Generate and distribute recurring Salesforce, QuickBooks, and Cision reports for leadership and campaign teams
- Coordinate onboarding and offboarding for employees and contractors
- Serve as liaison and primary contact for office management and vendors, including IT partners
- Oversee office supplies and general office needs for the Cherry Hill office, if not fully remote
- Assist with operational and leadership projects as needed, including internal events, book mailings, volunteer initiatives, and other agency support
Who You Are
- A reliable and detail-oriented operations professional with 5+ years of experience in operations, administration, or business support roles
- Highly organized and process-driven, with strong attention to detail and follow-through
- Comfortable working across multiple systems, including Salesforce, QuickBooks, and Google Workspace
- Able to manage multiple workflows simultaneously while maintaining accuracy and consistency
- A clear and professional communicator, both written and verbal
- Dependable, accountable, and comfortable handling confidential information
- Collaborative and team-oriented, with the ability to work across departments to support shared goals
- Experience with CRM systems, financial operations, or bookkeeping processes is a plus.

- Competitive salary commensurate with experience, ranging from $80,000 to $90,000 annually
