Role Description
The Business Operations Associate will play a key role in supporting the day‑to‑day operations of Z Lab, Inc. This position combines project coordination, presentation and brand support, and executive administrative support. You’ll help ensure client engagements run smoothly, internal processes stay organized, and the Founder’s time is used effectively.
In this role, you’ll manage timelines, prepare client‑ready materials, organize project plans, and maintain internal systems that keep the firm operating at a high standard. You’ll also assist with creating polished presentations, supporting brand consistency, and helping manage the firm’s online presence. As needed, you will support select client recruiting projects by conducting resume screenings and brief intake calls.
This is a foundational position for someone who enjoys working in a fast‑moving environment, communicates professionally, and can anticipate needs before they arise. The role offers meaningful exposure to consulting workflows, client interactions, and operational strategy, with room to grow into expanded responsibilities as the firm scales.
Key Responsibilities
Client & Project Operations
- Track deliverables, timelines, and open items
- Prepare client-ready summaries and materials
- Maintain project plans and digital filing systems
Presentation & Brand Support
- Build/update PowerPoint and Canva decks
- Apply consistent branding across materials
- Assist with LinkedIn content support
Recruiting Support (as needed)
- Screen resumes and conduct brief intake calls
- Host pre-screen Zoom interviews
- Prepare concise candidate summaries
Calendar & Communication Support
- Manage scheduling, inbox organization, and follow-ups
- Coordinate across time zones
- Serve as a first line of communication
Qualifications
- Experience in project management, with a solid understanding of operational processes
- Strong Analytical Skills and ability to interpret data to identify trends and opportunities
- Exceptional Communication and Interpersonal Skills to collaborate effectively with firm clients
- Strong organizational and time management skills with a focus on detail-oriented execution
- Proficiency with business software such as Powerpoint, Excel, Microsoft Office, and Client Relationship Tools (e.g. CRMs)
- Proactive problem-solving mindset and the ability to thrive in a dynamic, fast-paced environment
