About the Role
We are looking for a highly organized and proactive Sales Operations Specialist who thrives in a fast-paced environment and enjoys bringing structure and efficiency to sales processes.
In this role, you will work closely with the sales team to manage proposals, coordinate deals, track documentation, handle client and vendor portals, and ensure seamless execution of sales activities. Key ResponsibilitiesSales Coordination & Deal Management
- Work closely with the sales team to ensure smooth execution of deals.
- Process Purchase Orders (POs) and maintain accurate sales records.
- Track deals, approvals, and documentation to ensure timely completion.
- Maintain organized documentation for all sales transactions.
Proposals & RFP Management
- Prepare sales proposals, quotations, and commercial documents.
- Review and analyze RFPs/RFQs to understand requirements.
- Coordinate with internal teams to compile strong and timely responses.
- Ensure proposal submissions meet deadlines and compliance requirements.
CRM & Sales Tracking
- Maintain clean and updated CRM records for leads, opportunities, and proposals.
- Track sales activities and maintain pipeline visibility.
- Generate reports and maintain Excel trackers for sales performance.
Invoicing & Payment Follow-ups
- Coordinate with the finance team to raise invoices.
- Track invoice status and follow up with clients on pending payments.
- Maintain collection trackers and ensure timely closures.
Vendor & Client Portal Management
- Manage vendor and client procurement portals.
- Upload proposals, compliance documents, invoices, and required information.
- Ensure all submissions are completed accurately and within deadlines.
Meeting Coordination
- Document Minutes of Meetings (MOMs) with clear action points.
- Circulate meeting notes to stakeholders.
- Track and follow up on action items to ensure completion.
OEM / Partner Coordination
- Coordinate with OEMs and technology partners for quotations and pricing approvals.
- Manage deal registrations and track approval status.
- Follow up for technical documents, compliance certificates, and product information needed for proposals.
- Track partner quotes, pricing validity, and submission timelines.
- Manage OEM or partner portals for deal registrations and documentation updates.
Required Skills & Qualifications
- 2+ years of experience in Sales Coordination or Sales Operations.
- Strong experience in proposal creation, documentation, and coordination.
- Familiarity with RFP processes, invoicing, and payment tracking.
- Comfortable working with CRM tools and Excel trackers.
- Highly detail-oriented, organized, and proactive with follow-ups.
- Strong communication and coordination skills.
Preferred Qualifications (Bonus)
- Experience in the cybersecurity or technology industry.
- Exposure to vendor portals and enterprise procurement processes.
Work Mode
This is a Work From Office (WFO) role based in Gurgaon and is not a remote position.

Pay: ₹750,000.00 - ₹1,000,000.00 per year
