We are looking for a highly organized, detail-oriented, tech-savvy Sales Operations Coordinator to support our sales and operations teams. This role is critical to keeping our internal processes accurate, organized, and moving quickly.
This is not an entry-level administrative role. We need someone who takes ownership, thrives in fast-paced environments, catches mistakes before they become problems, and can help hold systems, communication, and sales operations together at a high level.
This role is the operational engine behind the sales team. You will work directly with Account Executives, distributors, manufacturers, and leadership to help drive quoting, procurement coordination, CRM accuracy, reporting, and customer communication.
Core Responsibilities
Quote & Bid Management
- Build, review, and process sales quotes for IT products and services.
- Assist with formal bid responses, RFPs, and procurement-related documentation.
- Ensure quotes and bid submissions are accurate, organized, and completed on time.
Distribution & Vendor Coordination
- Coordinate with distributors and manufacturers to verify pricing, product availability, lead times, renewals, and shipping timelines.
- Act as a liaison between the sales team and distribution partners such as TD SYNNEX, Ingram Micro, D&H, Carahsoft, and manufacturer partners.
- Help manage communication around backorders, delays, supply chain issues, and changing timelines.
CRM & Sales Operations
- Work directly with Account Executives to ensure CRM opportunities, notes, activities, and forecasting data remain accurate and current.
- Maintain and improve data quality within Pipedrive CRM.
- Assist with CRM administration, custom fields, workflows, automations, reporting, and process improvements.
- Generate pipeline reports, operational reports, and end-of-month reporting as needed.
Customer & Internal Communication
- Follow up with customers regarding quotes, order details, documentation, and scheduling when needed.
- Conduct outbound calls and maintain professional email communication with customers, suppliers, and internal teams.
- Support operational coordination between sales, finance, and service delivery teams.
Problem Solving & Operational Support
- Act as a resourceful “problem solver” to help navigate procurement hurdles, distributor issues, and operational bottlenecks.
- Understand when to independently solve issues and when to escalate to leadership.
- Identify process gaps and help improve operational efficiency across the sales organization.

- Fast learner who can quickly adapt to the technology industry, vendor relationships, and internal workflows.
- Comfortable working within complex processes that are sometimes outside of our direct control, especially when coordinating with distributors and manufacturers.
- Self-starter mentality with strong problem-solving ability.
- Ability to stay calm, organized, and proactive when dealing with delays, backorders, changing timelines, or communication challenges.
Preferred Experience
- 2+ years in sales operations, sales support, inside sales, project coordination, procurement, or administrative operations.
- Experience in the IT, technology, VAR, MSP, cybersecurity, or infrastructure industry strongly preferred.
- Understanding of the IT channel ecosystem, including the relationship between vendors and distributors.
- Experience assisting with RFPs, bids, procurement processes, or formal quote submissions.
- Experience working with distributors such as TD SYNNEX, Ingram Micro, D&H, or Carahsoft is highly preferred.
- Experience with CRM systems such as Pipedrive, Salesforce, HubSpot, or similar platforms.
- Strong Excel and reporting skills.
- Experience working in a high-accountability environment with deadlines and fast turnaround times.
