Position Overview
The Senior Sales Operations Specialist serves as a central resource for CRM governance, sales workflows, Partner Portal administration, reporting, enablement, and institutional knowledge. This role combines hands-on HubSpot administration with partner support, analytics, training, and cross-functional process improvement to help the Sales organization operate efficiently and scale effectively. This role serve as a liaison between Sales, Partner Support, Finance, Marketing, Product, IT, and other functional teams.
Key Responsibilities
- Utilize HubSpot CRM expertise to enhance operational efficiency, drive user adoption, and troubleshoot issues. Apply strong knowledge of the platform usability, data integrity, reporting, and automation to resolve CTM related challenges and optimize workflows to support business objectives.
- Serve as a HubSpot Administrator, configuration, pipelines, properties, workflows, automation, dashboards, and reporting.
- Maintain CRM data quality, lead-routing rules, deal progression, account ownership, and process standards.
- Troubleshoot system, workflow, and reporting issues and implement practical, scalable solutions.
- Evaluate new HubSpot features and recommend improvements that enhance efficiency, adoption, and user experience.
Reporting, Analytics & Data Quality
- Build and maintain leadership dashboards, scorecards, and operational reports.
- Monitor pipeline health, sales performance, HubSpot adoption, SDR activity, partner activity, and upsell engagement.
- Audit CRM records and reporting inputs to promote accuracy, consistency, and completeness.
- Translate data and trends into practical recommendations for coaching, workflows, resource allocation, and business decisions.
Sales Enablement & Training
- Deliver onboarding and continuing education related to HubSpot, products, sales tools, and operational processes.
- Create and maintain job aids, presentations, process guides, templates, and internal knowledge resources.
- Work with Compliance on updating SOP’s
- Provide one-on-one support to strengthen process adherence, user confidence, and CRM adoption.
- Communicate process changes and reinforce consistent execution across the Sales organization.
Partner Portal Administration
- Support platform access, enrollment, onboarding, user questions, and issue resolution.
- Maintain Partner Portal documentation, training materials, and partner-facing resources.
- Collaborate with Sales, Partner Support, Billing, and Product to improve the partner experience and resolve operational issues.
Process Improvement & Cross-Functional Support
- Problem Solving: Take a strategic approach to achieving business goals by asking the right questions, aligning appropriate resources, developing actionable plans, and evaluating outcomes. Proactively identify and address risks or delays while ensuring processes are streamlined, easy to execute, and results-driven
- Identify operational gaps, document root causes, and recommend practical, scalable improvements.
- Consistently implement operational protocols, procedures, and standards. Support execution of critical projects across all phases, ensuring alignment with timelines, objectives, and quality expectations.
- Support product launches and new initiatives through CRM configuration, testing, documentation, communication, and training.
- Partner across Sales, Marketing, Product, Billing, Partner Support, and Operations to align processes and maintain business continuity.
- Perform other duties and support special projects as assigned based on business needs.
Required Qualifications
- Bachelor's degree in Business Administration, Sales Operations, Marketing, Information Systems, or a related field, or equivalent practical experience.
- At least 4 years of experience in sales operations, analytics, CRM administration, or a related operational role.
- Hands-on experience with HubSpot CRM, including pipelines, properties, workflows, automation, dashboards, data management, reporting and issue resolution.
- Demonstrated ability to maintain HubSpot CRM data integrity, troubleshoot system issues, and improve operational processes.
- Experience building reports and dashboards and translating data into clear, actionable business recommendations.
- Experience creating process documentation, job aids, and training materials.
- Strong project management, organization, and follow-through, with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, with the ability to train and support users at varying levels of technical proficiency.
- Strong problem-solving and critical-thinking skills, with attention to detail and data accuracy
- Sound judgment and discretion when handling confidential business, customer, and partner information.
Additional/Preferred Qualifications
- HubSpot certification(s), including Sales Hub Software or Revenue Operations certification.
- Experience with partner portal or partner relationship management platform.
- Experience supporting product launches, user acceptance testing, change management, or cross-functional system implementations.
- Experience in financial technology, financial services, SaaS, or another regulated or data-driven environment.
Working Conditions and Physical Requirements
- On-site requirement: This is an on-site position based at our Irvine, CA office. Employees in this role are expected to work on-site five days per week.
- Work environment: Standard office setting with extended periods of sitting and computer use, including typing and viewing a monitor for prolonged periods.
- Physical demands: Occasional standing, walking, bending, and reaching to access files, office equipment, or supplies; ability to occasionally lift and/or move items up to 15-20 lbs. (e.g., files, boxes, or office supplies).
- Equipment use: Regular use of standard office equipment, including computers, phones, printers, and copiers.
- Schedule: Standard business hours, Monday through Friday, with occasional extended hours as needed to support launches, deadlines, system changes, or other business priorities.
