Role Overview
The Commercial Operations Specialist is responsible for supporting the day-to-day operations of the Australia business, ensuring smooth execution across customer service, order management, business planning, distributor coordination, sales administration, and finance support.
This role serves as a key liaison between customers, distributors, sales teams, logistics providers, and regional headquarters, helping to drive operational excellence while supporting business growth and customer satisfaction. The successful candidate will be detail-oriented, customer-focused, highly organized, and capable of managing multiple priorities in a dynamic commercial environment.
Key Responsibilities
Customer Service & Order Management
- Process customer orders and monitor order fulfillment from receipt to delivery.
- Serve as the primary point of contact for customer inquiries regarding orders, deliveries, and operational support.
- Coordinate with distributors, logistics providers, and internal stakeholders to ensure timely execution of customer requirements.
- Support complaint handling and customer issue resolution to ensure a positive customer experience.
Commercial Operations & Planning
- Support business planning activities, including sales forecasting, demand planning, inventory monitoring, and operational coordination.
- Work closely with Sales, Supply Chain, and regional teams to ensure alignment between customer demand, inventory availability, and business priorities.
- Assist in preparing business reports, operational reviews, sales analysis, and performance dashboards.
- Monitor operational performance and identify opportunities for process improvement and efficiency enhancement.
- Identify potential operational risks and proactively support contingency planning to ensure business continuity.
Distributor & Commercial Support
- Support distributor management activities and maintain effective communication with channel partners.
- Coordinate commercial documentation, contracts, quotations, and business records.
- Assist the sales team with reporting, forecasting, and business administration activities.
- Support tender submissions and commercial projects as required.
Finance & Administration Support
- Assist with invoice tracking, purchase order coordination, and payment follow-up activities.
- Support finance processes including accounts receivable follow-up, customer account reconciliation, and documentation management.
- Coordinate records and supporting documentation for audits, compliance reviews, and internal reporting.
- Support budget tracking and business expense administration.
Cross-Functional Coordination
- Work closely with Sales, Finance, Supply Chain, Customer Service, and regional headquarters teams to ensure efficient operations.
- Support the implementation of operational processes, systems, and continuous improvement initiatives.
- Ensure compliance with company policies, business procedures, and quality standards.
- Participate in business projects and operational initiatives to support organizational growth.
Qualifications
- Bachelor's Degree in Business Administration, Finance, Supply Chain, Operations Management, or a related discipline.
- Minimum 5 years of experience in customer service, sales operations, commercial operations, business support, or related functions.
- Experience within the medical device, healthcare, pharmaceutical, or other regulated industries is preferred.
- Strong experience in customer service, order management, sales administration, and operational coordination.
- Exposure to finance activities such as invoicing, payment follow-up, accounts receivable, or budget tracking is advantageous.
- Experience supporting business planning, forecasting, inventory coordination, or operational planning is preferred.
- Proficiency in Microsoft Office applications, particularly Excel.
- Experience using ERP systems (SAP, Oracle, Dynamics, NetSuite, or equivalent) is preferred.
