As a Project Coordinator at Astellas Pharma, you will play a vital role in supporting our Clinical team, particularly providing essential support to senior leaders, ensuring the smooth operation of day-to-day activities while contributing to innovative projects that improve patient care. Your work will directly impact our mission to Change Tomorrow™ and enhance the lives of patients globally.

Key Responsibilities
- Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
- Handle phone calls, emails, and other forms of communication on behalf of executives, prioritizing requests and ensuring timely responses.
- Organize meetings, conferences, and events, including scheduling, preparing agendas, taking minutes, and following up on action items.
- Book and coordinate all travel arrangements, including flights, hotels, and transportation, as well as manage Concur.
- Oversee office supplies, equipment, and other administrative needs to ensure smooth office operations.
- Provide support on special projects and tasks as requested by the executive team, maintaining confidentiality with sensitive information.
Essential Knowledge & Experience
- Previous experience supporting at the executive or senior leadership level.
- Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively to meet deadlines.
- Excellent verbal and written communication skills, including a collaborative approach with other functions.
- Strong problem-solving abilities to anticipate needs, troubleshoot issues, and offer solutions independently.
- High-level of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Experience
- Associate’s or Bachelor’s degree with at least 2 years of experience in the healthcare field.
- Experience with Astellas' internal systems required to support the Functional Unit.
Education/Qualifications
- High school diploma or equivalent required.
Additional Information
- This is a permanent, full-time position.
- This position is based in the United Kingdom.
- This position follows our hybrid working model. Role requires a blend of home and a minimum of 1 day per quarter in our Addlestone office. Flexibility may be required in line with business needs.
