The Role and Team
A phenomenal opportunity exists within Medallia’s Sales Organization as we’re looking for a dynamic, take-charge Senior Executive Assistant. The Senior Executive Assistant provides a range of administrative support services to the Chief Revenue Officer. This team member maintains high standards of professionalism, efficiency, personal communication, discretion and independent judgment. In working with internal and external contacts, including board members, they will deal with a wide range of highly sensitive issues under tight deadlines/pressures.
Reporting directly to the Chief Revenue Officer, the ideal candidate will play a central role in keeping the business activities organized, on track and moving forward. Candidates must have exceptional communications skills, be flexible yet thorough, and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment. We’re looking for someone who isn’t afraid to bring their own voice to the table and take ownership of the role.
Responsibilities:
- Maintain up-to-date awareness of the obligations of the executives to proactively assist and/or anticipate needs; able to provide support to leaders before they realize they need it.

Prioritize conflicting needs, handle matters expeditiously, proactively and confidentially, and follow through on a variety of special requests to successful completion, often with deadline pressures.

Proactively manage and coordinate complex, multi-leg domestic and international travel itineraries, accommodations, and detailed logistics for the CRO, exercising superior judgment to anticipate needs and ensure seamless transitions.

Develop and maintain productive and professional working relationships with executive level staff as well as the Sales team.

Exercise strong attention to detail, ensuring that all communications, deliverables, and projects are accurate, professional, and audience-appropriate.

Triage problems to reduce distractions and allow the executives to focus on what’s most important to the company while also bringing pertinent issues to their leader’s attention in an organized, succinct manner.

Demonstrate comprehensive knowledge of the overall department’s function.

Provide a broad variety of administrative tasks including, but not limited to, organizing travel arrangements, preparing and processing expense reports, preparing itineraries and agendas; and compiling documents and presentations for meetings.

Organize internal and external team meetings, video conferences, and conference calls, including preparation of meeting rooms, contacting attendees, facilitating their attendance, and ensuring that required informational materials and equipment are prepared in advance.

Confirm all meetings, prepare the executive for meetings with clear directions, proactively work with the appropriate team members to ensure proper meeting materials are prepared and sent in advance as well as prep meetings if needed.

Partner with the executive assistant team and others to provide help with meetings and events, as needed.
Qualifications:
Minimum Qualifications

8 years of experience as an executive assistant or equivalent role supporting senior executives

Demonstrated proficiency in Microsoft Office applications e.g. Word, Excel, Outlook, PowerPoint

Demonstrated a high-level of confidentiality

Bachelor’s degree or equivalent experience
Preferred Qualifications

Ability to understand the “big picture” and be proactive to prevent problems/conflict

Knowledge of proper administrative protocol and the ability to interface with all types of people in a friendly and professional manner

Strong attention to detail, ensuring that all communications, deliverables, and projects are accurate, professional, and audience-appropriate

Ability to communicate effectively in one-on-one and group situations - both written and verbally

Experience supporting Sales Organizations and leaders

Proven success in managing multiple schedules and calendars, with the ability to anticipate obstacles and respond to a constantly changing working environment

Effective travel logistic planning skills

Proficiency in expense reporting systems, preferably Concur
Candidates based in the London vicinity will be prioritized as this role is Hybrid, 3 days per week onsite.
