The opportunity:
The Senior Business Operations Specialist plays a critical leadership role within Operations, driving strategic initiatives that enhance operational efficiency, strengthen risk management, and elevate the overall client and advisor experience. Partnering closely with the AVP, Operations, this role provides senior‑level guidance and operational expertise to advance corporate priorities, optimize processes, and resolve complex operational challenges across W‑A business units.
This position leads efforts to evaluate, design, and implement scalable solutions by conducting advanced analysis of operational data, assessing workflow performance, and identifying opportunities for continuous improvement. The Senior Specialist ensures strong cross‑departmental collaboration—working with Operations, IT, Compliance, Project Management, and other key stakeholders—to support the successful execution of enterprise initiatives and the delivery of a superior service offering to advisory teams and clients.
The incumbent brings a strategic, analytical mindset, exceptional written communication skills, and the ability to influence outcomes while managing multiple high‑impact initiatives. They serve as a trusted operational advisor, contributing to long‑term process optimization and organizational effectiveness.
Key responsibilities include:
Documentation & Process Management
- Leading cross‑functional collaboration with IT, Project Management, Regional Management, Training & Development, and Compliance to ensure seamless execution of advisor‑facing initiatives.
- Champion a culture of collaboration, operational excellence, and continuous improvement by driving enhancements to advisor systems, tools, and support models.
- Providing strategic guidance on documentation standards and ensure consistency, accuracy, and scalability across operational materials.
Project Support & Operational Expertise
- Acting as a senior Operational Subject Matter Expert (SME), shaping business requirements and influencing the direction of strategic initiatives.
- Overseeing meeting governance by guiding agenda development, ensuring accurate documentation, and driving accountability for follow‑up actions and deliverables.
- Leading and contribute to complex, cross‑functional projects, offering advanced operational insights to support technology modernization, process optimization, and profitability growth.
- Driving the successful adoption and integration of new technologies, products, and corporate initiatives into scalable operational workflows.
- Reviewing, validating, and approving operational processes and documentation, ensuring alignment with enterprise standards and long‑term business strategy.
- Providing senior‑level oversight and guidance for business‑as‑usual (BAU) initiatives, including annual planning cycles, operational reviews, and execution roadmaps.
Data Analysis & Process Optimization
- Leading advanced analysis of operational data to evaluate performance, uncover trends, and identify strategic opportunities for improvement.
- Delivering high‑impact insights and recommendations through clear, executive‑ready summaries that support informed decision‑making.
- Driving enterprise‑level workflow optimization efforts, identifying opportunities to enhance productivity, reduce operational risk, and lower costs.
- Overseeing the creation, governance, and publication of comprehensive Policy and Procedure documentation, ensuring alignment with regulatory requirements and operational best practices.
The ideal candidate will possess:
- Post Secondary education; preference given to Business/Finance.
- Project Management Courses an asset.
- 8+ years’ financial services industry experience working in a high growth environment.
- Experience in the wealth management industry; CIRO or ICPM preferred.
- Experience working within Operations.
- Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
- Experience with Advisor and Custodial Systems, including, Croesus, Account Opening, Client Portal, Kyndryl.
- Experience with incident management tools such as JIRA, Monday.com, Salesforce etc.
- Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.
- Knowledge of financial products, financial terms, and business processes of an introducing broker.
- Demonstrate analytical, organizational, and problem-solving skills.
- Strong organizational skills - ability to manage multiple and competing priorities, many with strict time constraints.
- Demonstrated ability to independently prioritize and accomplish tasks with minimal supervision.
- Proven ability to navigate rapid changes in priorities and timelines with the ability to re-strategize and reallocate resourcing as required.
Compensation & Benefits:
Range $75,000.00 - $110,000.00 annually.
This range represents Wellington-Altus's expected range of compensation for this position. Actual compensation will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Compensation for part-time roles will be pro-rated based on number of hours regularly worked.
Wellington-Altus's total compensation package for employees may also include discretionary bonuses as well as other perks and rewards. Wellington-Altus also offers health insurance, accident and life insurance, and other unique benefits per location.
Conditions of employment:
- Must be legally eligible to work in Canada.
- Must be able to travel anywhere in Canada up 0 - 5% of the time.
