We are seeking a highly organized and proactive Sales Operations Manager to streamline sales processes, eliminate operational barriers, and support sales teams across hospitality, major accounts, and new‑business segments within a manufacturing and product‑driven environment. This role ensures that sales, production, engineering, and project coordination operate in sync — enabling faster responses to RFPs, smoother handoffs to production teams, and more efficient onboarding of new clients.
About the Role
The Sales Operations Manager leads daily morning sales meetings, supports product‑specific sales cycles, and resolves unique customer requests that drive new revenue opportunities.
Responsibilities
- Serve as the primary point of contact for RFP intake, coordination, and completion, ensuring proposals accurately represent manufacturing capabilities, production lead times, and technical product requirements.
- Identify and eliminate operational, administrative, or system‑related roadblocks that slow down sales reps or cause delays between sales and production teams.
- Maintain standardized RFP templates, product specs, pricing materials, compliance documentation, and approved technical content.
- Coordinate cross‑department approvals with Legal, Product Management, Engineering, Production Planning, Finance, and Technical teams.
- Ensure all proposals meet brand, legal, production‑feasibility, and compliance standards.
- Analyze and refine sales workflows to reduce friction between sales, production scheduling, supply chain, and product teams.
- Develop scalable processes that reflect manufacturing realities — capacity, tooling needs, BOM changes, material availability, and production timelines.
- Track RFP‑related KPIs including response times, win rates, production feasibility feedback, and pipeline bottlenecks.
- Improve internal processes that directly impact new‑client onboarding, prototype delivery, order fulfillment speed, and retention.
- Lead daily morning meetings with the sales team to review priorities, production constraints, open RFPs, inventory visibility, and immediate blockers.
- Communicate updates on product availability, operational changes, and supply‑chain‑driven adjustments to pricing or lead times.
- Provide actionable guidance so sales reps can accurately set expectations with customers.
- Partner with hospitality clients to understand how product specifications, installation requirements, or manufacturing lead times impact their operational needs.
- Support major accounts with tailored sales operations strategies that align with high‑volume orders, custom product configurations, or recurring production schedules.
- Resolve unique or custom product requests by coordinating with engineering, product development, and production teams.
- Support sales reps in crafting custom sales packages, technical configurations, order builds, pricing scenarios, or product variations to win new business.
- Help refine onboarding documentation and pre‑production requirements to ensure seamless transitions for new clients entering the manufacturing pipeline.
- Work closely with project coordinators to align timelines, manufacturing tasks, production milestones, and client deliverables.
- Serve as an escalation point for large, complex, or highly custom product builds requiring cross‑functional involvement across engineering, QA, and manufacturing.
- Bridge communication gaps between sales and production by maintaining continuous visibility into factory capacity and forecasted demand.
- Manage CRM platforms (Hubpot preferred) and proposal automation tools, ensuring alignment with production systems (ERP, MRP, inventory tools, order management).
- Build dashboards that provide real‑time visibility into RFP pipeline, order readiness, production status, and sales forecast accuracy.
- Train new and existing sales reps on product catalogs, configuration rules, production workflows, and best practices.
Qualifications
- 5+ years in Sales Operations, Proposal Management, Manufacturing Operations, or Product‑driven Business Operations.
- Experience supporting hospitality or major‑account environments is a strong plus.
- Skilled in CRM systems, RFP software, ERP/MRP processes, product coordination, and cross‑functional communication.
- Excellent organizational, prioritization, and problem‑solving abilities, especially in fast‑moving production environments.
