Today, the Lapland Group is a fast-growing purpose driven entertainment business spanning the
three pillars of Live, Product and Studios. In 2024, Lapland’s eCommerce revenues grew tenfold, driven by the launch of magical at-home products like personalised Letters from Lapland…. Advent calendar and soon, a Christmas Eve Experience. These products extend the Lapland world into the home, deepening belief and connection beyond the physical experience. At the same time, our original story universe continues to scale through media. In 2023, Lapland launched its first podcast, Elfcast, which achieved No. 1 in the UK Family Charts and ranked in the global top 10 over Christmas. Role Overview:
The Business Operations Coordinator will support the Business Operations Manager by keeping day-to-day business operations running smoothly. This role focuses on administrative coordination, cross-team followup, and ensuring key business processes, meetings, and priorities are organised, tracked, and delivered. The role requires exceptional attention to detail, adaptability, and the ability to handle sensitive business information with discretion.
Key Responsibilities:
Personal & Executive Support:
- Assist the business ops manager to support the founders across both business and private matters.
- Act as a trusted first point of contact, managing communication and prioritising requests appropriately.
- Oversee day-to-day personal administrative tasks, including correspondence, appointments, and life logistics.
- Manage personal matters through meetings, email, phone, and in-person support as required.
- Liaise with personal service providers, advisors, and household contacts on behalf of the Co-Founders.
Executive & Operational Support (Business):
- Provide comprehensive administrative and operational support to the Founders on business matters.
- Act as a central point of contact for internal stakeholders, managing communications and prioritising requests.
- Draft, format, and maintain business documents, trackers, and operational updates as required.
- Support coordination of operational priorities across teams, ensuring actions are followed through.
Diary, Meetings & Scheduling (Business):
- Manage a complex business diary, balancing internal meetings, external calls, and operational commitments including the Co-Founders and COO.
- Coordinate meeting logistics (agendas, attendees, rooms/virtual links, materials, and actions).
- Capture and track actions/decisions, following up with owners to ensure timely completion.
- Adapt scheduling quickly in response to changing priorities.
Business Administration Management:
- Oversee day-to-day business administration tasks, including correspondence, approvals, and general operational paperwork.
- Maintain accurate records, filing systems, and documentation in line with internal processes.
- Coordinate with relevant teams to ensure operational requests are progressed and closed out.
Travel & Logistics (Business):
- Arrange business travel including transport, accommodation, itineraries, and schedule alignment.
- Coordinate logistics for business events, meetings, and site visits as required.
- Manage changes and ad hoc travel requirements efficiently.
Stakeholder & Team Coordination:
- Liaise with internal teams and external suppliers/partners to support operational delivery.
- Coordinate across departments to ensure alignment on timelines, dependencies, and next steps.
- Support onboarding/coordination for new operational processes where required.
Skills & Experience:
- Experience in business operations coordination, executive support (business-focused), or office/operations administration.
- Strong organisational skills with excellent attention to detail and follow-through.
- Confident managing diaries, meetings, actions, and multiple stakeholder priorities.
- Strong written communication and document management skills.
- High discretion and professionalism when handling sensitive business information.
- Comfortable using digital tools (calendar, email, documents, trackers).
