Position Summary:
Vecima is seeking an organized and customer-focused Sales Operations Administrator to join our team. This role is responsible for accurate entry and management of customer purchase orders in Oracle, ensuring compliance with order processing rules and configurations. The successful candidate will work closely with Sales, Supply Chain, Shipping, and Operations teams to maintain order accuracy, product availability, and timely fulfilment, while providing advanced inside sales support, and contributing to exceptional customer experience.
This position is based in our Saskatoon office, with some flexibility for a hybrid work arrangement.
Duties include (but are not limited to):
- Review customer purchase orders and accurately enter order details into Salesforce and subsequently, Oracle.
- Support Sales activities in Salesforce, including entering quotes, overseeing forecasts, updating opportunity data, and managing order progression.
- Collaborate with numerous Teams to effectively communicate the needs of upcoming forecasts and purchase orders.
- Manage various sales order holds, including credit, inventory, and shipping holds.
- Act as an inside sales support resource by assisting customers with inquiries and requests.
- Answer incoming calls in support of the Sales team.
- Coordinate with the Shipping Department to support daily operations and ensure accurate shipping information is obtained prior to order entry.
- Perform monthly reconciliations between Oracle and Salesforce.
- Understand Finished Goods (FG) allocations and manage back orders efficiently.
- Represent Vecima in a professional and positive manner in all internal and external interactions.
Position requirements:
- Proficient in Microsoft Office/Office 365 (Outlook, Word, Excel).
- Working knowledge of Oracle or similar ERP systems, including order entry.
- Basic understanding of inside sales processes and customer support.
- Familiarity with shipping processes and logistics coordination.
- Experience using CRM systems such as Salesforce.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Ability to manage multiple tasks and work collaboratively in a fast-paced environment.
- Proficient in standard office software applications.
