We are a growing business that works closely with retailers, suppliers, manufacturers, and logistics partners to bring innovative products to market. As the company grows, we are looking for a highly organized, hands-on Brand & Sales Operations Consultant to support the day-to-day operational and commercial execution of the business.
Position Summary
The Brand & Sales Operations Consultant will play a critical role in managing the day-to-day back-end operations that support sales, customer service, supply chain coordination, inventory planning, finance administration, and product setup. This role is designed to help streamline the company’s operations.
This person will work closely with the founders and external partners to ensure orders are processed accurately, inventory and production are managed efficiently, customers and suppliers are supported, invoices are tracked, and product information and certifications are kept current.
The consultant will be responsible for preparing, coordinating, tracking, and following through on all other related operational activities.
In addition to core operational responsibilities, we are looking for someone who has an interest in technology, automation, programming, and AI tools, and who is excited to experiment with ways to improve efficiency, reporting, forecasting, and process execution across the business.
Key Responsibilities
1. Sales Operations and Order Management
- Enter customer orders accurately into Quickbooks
- Manage order flow from purchase order receipt through fulfillment
- Track shipments and delivery status
- Investigate delays, follow up on Estimated Time of Arrival issues, and communicate updates to relevant customers or partners
- Coordinate with retailers, distributors, third-party logistics providers, and manufacturing partners to ensure smooth order execution
- Support deal and promotion setup to ensure commercial programs are executed accurately
2. Accounts Receivable and Accounts Payable Administration
- Track invoices, monitor customer payments and review AR aging reports
- Follow up with customers and retailers on overdue invoices
- Reconcile supplier invoices and prepare payment details for internal review
- Maintain accurate documentation and support finance-related administrative processes
3. Inventory Planning and Supply Chain Management
- Manage raw material ordering based on forecast and production needs
- Monitor finished goods and raw material inventory levels
- Build and maintain inventory trackers and replenishment schedules
- Forecast product requirements and help determine production needs
- Work closely with manufacturing partners to plan and execute production runs
- Help minimize stockouts, excess inventory, and supply disruptions
4. Product Setup and Commercial Readiness
- Coordinate setup of new SKUs and product information across systems and customer requirements
- Ensure UPCs, product specs, nutritional panels, labels, and supporting documents are complete and accurate
- Support promotional planning and item-level profitability tracking
- Maintain product master data and documentation for retail and distributor needs
5. Certifications and Compliance Administration
- Maintain all certification records and required documentation
- Track timelines, renewals, and audit readiness for organic and other certifications
- Ensure supporting files are organized and available for organic certification audits and similar compliance reviews
- Coordinate with certifying bodies, suppliers, and internal stakeholders to gather required documentation
6. Logistics and Transportation Coordination
- Coordinate domestic and cross-border shipment documentation
- Manage required paperwork for U.S. customs and other export/import requirements
- Work with freight partners, warehouses, and customers to support smooth transportation execution
- Troubleshoot logistics issues and proactively resolve shipping-related problems
7. Process Improvement, Systems, and AI Enablement
- Identify opportunities to improve workflows, reduce manual work, and increase visibility across operations
- Build or improve trackers, dashboards, and reporting tools to support better decision-making
- Explore and test AI and automation tools that can improve efficiency in forecasting, order management, customer follow-up, documentation, and reporting
- Bring a curious, experimental mindset toward using technology and programming to drive results in a growing business
- Help establish scalable processes that can support future growth
Qualifications
- Experience in sales operations, supply chain, operations, customer service, or finance administration, preferably in CPG, food service, or consumer goods
- Bachelor’s degree in business, Finance, Operations, Marketing, or a related field. MBA or advanced degree is preferred.
- Strong understanding of order management, invoicing, inventory, and logistics processes
- Experience working with co-manufacturers, retailers, distributors, and suppliers is an asset
- Familiarity with cross-border shipping and U.S. customs documentation is preferred
- Experience supporting certifications or regulated documentation processes is an asset
- Strong spreadsheet and systems skills; comfortable managing trackers, data, and reporting
- Strong interest in automation, AI tools, and process optimization
- Basic knowledge of programming, no-code tools, or workflow automation platforms is a strong asset
- Highly organized, detail-oriented, and able to manage multiple priorities independently
- Strong follow-up skills and ability to multi-task
- Excellent written and verbal communication skills
- Comfortable working in a fast-paced entrepreneurial environment with evolving priorities
- Passionate about the food and beverage industry
