Why This Role Is Important
The Analyst, Business Operations, will be responsible for providing day-to-day Vendor operational support, control execution along with oversight of outlier activity, vendor processing reconciliations and risk management reporting of key Vendors. This will include monitoring audit reports, handling and keeping control evidence, creating robust reporting of monitored activity, and managing vendor inventories. This role will also be key in building and maintaining strategic partnerships with internal and external partners.
We are looking for a candidate that is a self-starter, highly energized, and has excellent communication and presentation skills. The right candidate will bring a strong mix of experience with financial planning and reporting within operations, and a ‘roll-up-your-sleeves’ approach.
What You’ll Do
- Invoice/accrual processing and financial reporting of key bank Vendors
- Validation of accuracy of inventory reports
- Inventory management for all collateral housed at vendor locations including managing volume to within tolerable levels
- Identify and investigate any potential risks or variances to the overall inventories, find root cause of risks, implement risk mitigation tactics, and develop contingency plans
- Manage inventory re-order & destruction
- Lead internal partner meetings with respect to inventory/collateral management, usage, reorder points and draft minutes for distribution
- Provide insights and robust reporting to management team highlighting issues/trends and call out any high-risk operating deficiencies associated to inventory reconciliations
- Responsible for implementing internal operational controls monthly and maintaining control evidence
- Daily oversight and execution of Statement Validation
- Onsite Vendor validation (Cards & Statements) as required
- Create and maintain accurate inventory of control functions and processes, ensuring accuracy
- Identify & champion process improvement opportunities & enhancements to improve overall efficiency while minimizing financial impacts (increases to cost savings) with all partners
- Develop and maintain accurate up to date process documentation
- Support Vendor in ad hoc day to day inquires or issue resolution
- Make time sensitive decisions, requiring sound and independent judgment
- Maintain current operational documentation such as process documentation, monthly production forecasts, controls, statement of procedures, etc.
- Carrying out the audit work in an optimal fashion in compliance with timeline requirements outlined in the planning phase
- Documenting clear and concise results
- Provide robust reporting/data analytics and trending analysis on outlier activity
- Maintain an understanding of operational processes and procedures and continuously recommend process efficiencies and improved customer experience
- Provide support & assistance in resolving complex or intensified inquiries, taking full ownership and handling to final resolution
What You Bring
- 3+ years operational vendor operational experience or relevant experience in financial sector (Credit and Debit/Banking)
- Strong attention to detail, self-motivated, and adaptable to change in a dynamic environment
- Experienced analytical skills to identify gaps and deficiencies and develop solutions
- Excellent verbal, written, and reporting skills
- Strong communication and interpersonal skills with the ability to foster and develop relationships both internally and externally
- Experience managing multiple internal and external relationships
- Proficient with Microsoft Office (Word, Excel, PowerPoint)
- Highly organized, with an appreciation of meeting reporting commitments
- A good team player who is also able to work independently in a fast-paced environment
- Post-Secondary Education
- Excellent time management and organizational skills
