The Opportunity
Reporting to the Manager of Executive Operations, this position provides confidential administrative services and support, and liaises with executives, managers and support staff on behalf of the VP. The Executive Assistant maintains and updates records and filing systems; establishes work priorities and responds to urgent requests; and ensures that office systems and methods are consistent with established Society administrative systems and standards.
Key accountabilities include, but aren't limited to:
- Provides all administrative support requirements to the Vice President, Corporate Services & Chief Financial Officer including typing correspondence and reports; processing mail; ordering office supplies.
- Prepares confidential and sensitive correspondence and administrative support for the Vice President, Corporate Services & Chief Financial Officer.
- Prepares notices of meetings, agendas and supporting materials; attends meetings and takes minutes; distributes reference materials to participants as required.
- Processes correspondence on employee relations matters such as discipline and/or employee performance reviews.
- Participates on hiring panels; hires casual staff; plans, assigns and reviews the work of staff and conducts performance reviews.

The ideal candidate is interested in growing beyond administrative support into a trusted strategic partner. This includes anticipating needs, proactively identifying efficiencies, and strengthening how the VP’s office operates through strong judgment, systems-thinking, and follow-through. The successful incumbent in the role will be operating with discretion and confidence, staying ahead of competing priorities, and consistently helping the VP’s office run smoothly and strategically.
High school graduation supplemented by commercial or business school training, and a minimum of five years’ sound administrative assistance experience at a senior level, or an equivalent combination of training and experience
