About ANEYA
ANEYA is an entrepreneurial business building premium, experience-led ventures with a strong focus on customer experience, operational excellence and thoughtful execution.
We are looking for a highly capable, organized and proactive professional to bring structure, accountability and execution discipline across our business initiatives.
This is not a conventional Executive Assistant, accountant or data-entry role.
We are looking for someone who makes sure things get done.
You will be the person who keeps track of commitments, coordinates people, follows up on deliverables, ensures meetings translate into action and makes sure our financial administration runs smoothly.
You should enjoy bringing order to a fast-moving environment, be comfortable following up with senior professionals and take pride in ensuring nothing falls through the cracks.
Your Two Core Responsibilities1. Finance & Accounts Administration — 40%
You will take end-to-end ownership of financial administration and coordination with our external accountant.
Your responsibilities include:
- Collect, verify and organize all vendor invoices, receipts, payment confirmations and supporting documents.
- Maintain accurate records of expenses, advances, reimbursements, vendor payments and client receipts.
- Track outstanding invoices, receivables, payables and pending payment commitments.
- Coordinate with vendors and internal stakeholders to resolve missing documents and payment discrepancies.
- Match transactions against bank statements, invoices and payment records, identifying and escalating unexplained differences.
- Ensure financial documentation is accurately recorded or uploaded into the accounting system.
- Coordinate with the external accountant to ensure transactions are properly accounted for.
- Drive monthly accounting closure by ensuring required documents are complete, exceptions are resolved or escalated, and the accountant confirms closure.
- Maintain organized records that are readily available for management review, audits and statutory requirements.
- Prepare simple monthly financial administration reports showing pending payments, outstanding documentation and unresolved issues.
What success looks like: The Founder should not have to chase invoices, locate receipts, follow up with the accountant or personally resolve routine financial documentation issues.
The external accountant remains responsible for professional accounting treatment, statutory filings and tax compliance. This role owns the coordination, documentation, accuracy checks and closure process.
2. Project Coordination & Deliverables Tracking — 40%
You will establish and maintain a reliable system to track important projects, milestones, meetings and commitments across the business.
Your responsibilities include:
- Maintain one consolidated master tracker covering key projects, deliverables, owners, deadlines, status, dependencies and next actions.
- Coordinate with business leaders and team members to ensure commitments are clearly assigned and understood.
- Actively follow up on deliverables before deadlines are missed.
- Identify overdue tasks, unresolved dependencies and potential bottlenecks.
- Escalate issues early, with clear facts and recommended next steps.
- Coordinate leadership meetings, project reviews and external stakeholder meetings.
- Prepare meeting agendas, capture decisions and document action items.
- Ensure every action item has a clear owner and due date, and follow through until completion.
- Maintain visibility into upcoming milestones across multiple business initiatives.
- Prepare concise weekly progress reports highlighting completed work, upcoming deadlines, delays and decisions required.
- Keep project tracking simple, accurate and useful rather than creating unnecessary processes or meetings.
What success looks like: At any point, the Founder and leadership team should be able to see what is on track, what is delayed, who is responsible and what needs attention.
You will coordinate and track execution, not replace the business leaders responsible for commercial decisions, strategy or project delivery.
Additional Responsibilities — 20%Meeting & Stakeholder Coordination
- Schedule internal and external meetings efficiently.
- Coordinate calendars, meeting logistics and required materials.
- Communicate professionally with senior executives, vendors, consultants and business partners.
- Ensure meeting decisions are documented and followed through.
- Maintain clear, timely and professional written and verbal communication.
General Business Administration
- Maintain organized contracts, business documents and administrative records.
- Coordinate vendor onboarding and routine documentation.
- Support important administrative assignments across the Founder's business initiatives.
- Handle confidential business information with discretion.
Technology, AI & Productivity
- Use Excel or Google Sheets confidently for tracking, reconciliation and reporting.
- Work with project management tools such as ClickUp, Asana, Trello or equivalent platforms.
- Be comfortable with accounting software such as Zoho Books or Tally.
- Use AI tools such as ChatGPT, Claude or Gemini to improve productivity.
- Validate information independently and use technology to simplify work.

- 3–6 years of experience in business operations, executive coordination, project coordination, finance administration or a similar role.
- Hands-on experience coordinating invoices, payments, expenses and accounting documentation.
- Experience working with accountants or finance teams to close outstanding financial items.
- Strong Excel or Google Sheets proficiency.
- Demonstrated ability to track multiple projects, deadlines and stakeholders simultaneously.
- Excellent organizational skills and attention to detail.
- Strong spoken and written English.
- Confidence following up with senior professionals and external stakeholders.

First 30 Days — Establish Visibility
- Understand existing projects, stakeholders, financial records and administrative processes.
- Establish a consolidated tracker of all important deliverables and deadlines.
- Organize existing invoices, receipts, payments and accounting documentation.
- Identify and document outstanding financial and project-related issues.
Days 31–60 — Establish Control
- Run a consistent weekly deliverables review process.
- Ensure meetings have clear agendas, decisions and assigned action items.
- Drive timely resolution of overdue administrative and accounting items.
- Coordinate monthly accounting closure with the external accountant.
- Establish a concise reporting system for leadership.
Days 61–90 — Operate Independently
- Independently manage routine financial administration and accounting coordination.
- Maintain accurate, up-to-date visibility across key business initiatives.
- Proactively identify delays and ensure timely escalation.
- Reduce the Founder's involvement in routine follow-ups and administrative issues.
- Demonstrate that commitments are being tracked and completed reliably.
The Person Who Will Succeed
You are someone who enjoys bringing order to complexity.
You are comfortable coordinating ten different people, following up persistently, resolving an invoice discrepancy and ensuring a meeting results in completed actions.
You don't wait for someone to ask for a status update. You already know what is pending, who owns it and what needs to happen next.
You combine the accuracy of a finance administrator with the organization of a project coordinator and the initiative of someone who takes genuine ownership.
Your value is not in creating trackers. Your value is in ensuring that the work tracked actually gets completed.
Compensation
₹60,000–₹70,000 per month, depending on experience and demonstrated capabilities.
This is a high-responsibility role offering direct exposure to the Founder and leadership team, with opportunities to grow as the business expands.
