Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical duties to ensure a professional and welcoming environment.
- Manage schedule coordination for meetings, appointments, and events through effective calendar management tools.
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance.
- Handle vendor management tasks such as negotiating contracts, processing invoices via QuickBooks, and maintaining vendor relationships.
- Support human resources functions including onboarding, payroll processing, employee records management, and compliance documentation.
- Assist with budgeting, bookkeeping, and financial reporting to ensure accurate financial tracking and resource allocation.
- Plan and execute company events or meetings that promote team engagement and organizational culture.
- Maintain organized records through efficient filing systems and ensure confidentiality of sensitive information.
Qualifications
- Proven experience in office management or administrative roles within a professional environment.
- Supervising experience with the ability to lead teams effectively.
- Proficiency in QuickBooks for accounting tasks such as invoicing, expense tracking, and payroll processing.
- Strong organizational skills with the ability to manage multiple schedules simultaneously.
- Experience in vendor management, contract negotiation, and budget oversight.
- Knowledge of human resources processes including onboarding, employee relations, and compliance standards.
- Familiarity with medical office management or healthcare-related administrative functions is a plus.
- Excellent communication skills coupled with professional phone etiquette and customer service orientation.
