About the Role
SDT Ultrasound Solutions India is a fast-growing industrial technology company specializing in ultrasound-based predictive maintenance solutions, serving clients across India and globally. We are looking for a sharp, organized, and proactive Executive Personal Assistant to the Director of Business Development who will serve as the operational backbone of the company.
This is not a conventional PA role. You will have a 360° view of business operations — from revenue to compliance — and will be the Higher Management's trusted right hand in keeping every function running like clockwork.
Key Responsibilities
Sales & Revenue Operations
• Track and monitor the sales pipeline — from lead generation to deal closure — across India and international regions.
• Coordinate with the inside sales team to ensure timely follow-ups, proposal submissions, and CRM hygiene.
• Prepare periodic sales performance reports, dashboards, and forecasts for leadership review.
Service & Customer Success
• Liaise with the service and customer success teams to track open tickets, SLA adherence, and client satisfaction metrics.
• Proactively flag delays or escalations and coordinate resolutions between departments.
• Support documentation and reporting for post-sale client engagement activities.
Financial Operations – Receivables & Payables
• Track payment recovery cycles — monitor outstanding invoices, follow up with clients on overdue payments, and maintain aging reports.
• Coordinate with the accounts team on payment processing, vendor payables, and expense reconciliation.
• Maintain updated financial trackers and flag exceptions to the Higher Management on a regular basis.
Compliance & Ethics Monitoring
• Assist in ensuring the company adheres to statutory, legal, and regulatory compliance requirements.
• Support vendor registration processes, documentation, and compliance submissions for key accounts.
• Monitor internal processes for adherence to company ethics policies and flag anomalies for review.
• Maintain organized records of contracts, agreements, NDAs, and compliance documents.
People Operations & HR Coordination
• Coordinate daily HR administrative activities — leave records, team schedules, and inter-departmental communication.
• Support the Higher Management in managing employee-related documentation, communication, and sensitive matters with discretion.
• Act as a first point of contact for employee queries and escalate to the Higher Management as required.
Executive Support & Operations Management
• Prepare presentations, reports, and briefing documents ahead of internal and external meetings.
• Act as the communication bridge between the Higher Management and all internal departments — ensuring actions are followed through.
• Draft and review professional correspondence including emails, proposals, and internal memos.
Who We Are Looking For
You are someone who:
• Has 8-10 years of experience in a business operations, executive assistant, or multi-functional coordination role.
• Is extremely organized, detail-oriented, and able to manage multiple priorities simultaneously without dropping the ball.
• Communicates clearly and professionally — in writing and verbally — with clients, vendors, and internal teams.
• Is comfortable working with data — be it sales pipelines, financial trackers, or HR records.
• Exercises discretion and sound judgment when handling sensitive business and employee matters.
• Has proficiency in tools like MS Excel/Google Sheets, CRM platforms, and communication tools (Outlook, Teams).
• Has a proactive attitude — anticipates what's needed before being asked and takes ownership of outcomes.
Good to Have
• Prior experience in a B2B, industrial, or technical products company.
• Exposure to international business operations or cross-border client coordination.
• Familiarity with vendor compliance documentation or government tender processes.
• Basic understanding of accounting concepts (receivables, payables, reconciliation).
