Role Overview
As a Global License Operations Analyst, you will play a critical role in managing software (SaaS and On-Premise) requests and purchases across the organization. You will collaborate with various Business Units (BUs) to onboard software requests while ensuring compliance with internal policies, regulatory standards, and budget controls.
This role requires strong cross-functional coordination with vendors, finance, procurement, sourcing, and engineering teams to ensure seamless software lifecycle management.
Key Responsibilities
- Coordinate with all Business Units (BUs) to gather and validate software requirements
- Ensure compliance with company policies, procedures, and regulatory standards throughout the software lifecycle
- Manage end-to-end software onboarding process, including:
- PR (Purchase Requisition) creation
- Budget confirmation
- Approval follow-ups
- Vendor coordination
- Timely license delivery to end-users
- Track upcoming software renewals and manage budget forecasting
- Conduct vendor-level software true-ups
- Manage software license allocation and reallocation (e.g., reclaiming licenses when employees exit)
- Act as the Subject Matter Expert (SME) for software licensing
- Provide leadership with regular metrics and reporting including:
- Total software spend
- Cost savings
- Cost avoidance
- Collaborate with engineering teams for technical validation and integration requirements
Required Qualifications
- Bachelor’s degree in Business Administration or a related field (or equivalent experience)
- 5+ years of experience in operations roles supporting cross-functional teams across multiple time zones
- Strong understanding of sourcing and procurement processes (working knowledge preferred)
- Excellent project management skills
- Proficiency in:
- Microsoft Excel
- PowerPoint
- Ticket management systems (e.g., Atlassian JIRA, JSM)
- Exceptional communication and stakeholder management skills
- Ability to challenge or push back on software requests when overlapping tools or capabilities exist
- Strong analytical and problem-solving skills with a proactive approach to issue resolution
- High attention to detail with the ability to manage large datasets (renewals, user counts, budgets, etc.)
- Technical proficiency to collaborate effectively with engineering teams (experience in software/technology environments preferred)
